Summary/Objective:

The Contract Assistant to the Purchasing team supports the Purchasing Manager and Contracts Administrator in various day-to day administrative tasks.

Essential Job Duties:

  • Send notifications to subs for upcoming phase starts, request price changes (if applicable), track responses.
  • Issue base house PO’s prior to phase start.
  • Enter anchor estimates revisions as needed prior to job cost meeting.
  • Process change-orders: obtain necessary approvals, verify correct codes, ensure quality control of change orders, etc.
  • Calculate and track designer commissions, issue purchase orders.
  • Upload purchase orders and change-order backup to Sharepoint.
  • Send and track NOC’s (Notice of Completion), after the completion of each phase, revise purchase orders as needed.
  • Upload and revise documents on vendor portal and Sharepoint as needed (standards and options book, model disclosures, etc.)
  • Issue and track logins to vendor portal.
  • Send mass emails to subcontractors as needed.
  • Request and verify updated insurance certificates as needed.
  • Track utility and manufacturer rebates.
  • Data entry, preparing correspondences, copying and printing, filing, and other administrative duties.

Requirements

Education, Knowledge, Skills and Abilities:

  • High School diploma required.
  • 3-5 years of administrative experience required prior construction industry is a plus.
  • Strong computer aptitude to include the Microsoft Suite.
  • Knowledge of construction or related administrative and clerical procedures and system such as word processing, managing files, records, other office procedures and terminology.
  • Self- starter, analytical, team player and excellent communication skills.
  • Ability to manage a heavy and evolving workload independently and successfully.
  • Attention to details, good organizational skills, and ability to perform efficiently and accurately in a fast-paced dynamic environment.
