Overview:
Job Summary
Assist Property Accounting in equipment purchasing and facilitating/administering new store, remodels and small project procurement activities through coordination of the help desk tickets and purchase order system. Consistently provides friendly, courteous customer service to internal and external customers. Performs other related work.
Typical Duties and Responsibilities
- Manage help desk ticket requests for new and existing stores and other locations. Route tickets to the appropriate maintenance vendor or staff. Follow up to ensure requests are resolved timely and effectively.
- Manage purchase orders and purchasing requests for new and existing stores and other locations. General knowledge of equipment with the ability and familiarity to read construction documents to develop plan take offs for equipment needs on new store and remodel projects. Route purchase orders to appropriate equipment vendor. Follow up on purchase orders to ensure equipment is ordered and delivered timely.
- Audit incoming help desk/purchase order and maintenance invoices for accuracy and relevant help desk ticket/purchase order reference number. Assist with review and monitor other maintenance and repair expenses for accuracy.
- Assist with obtaining price quotes, comparing service provider quotes and sourcing new service providers for work related to maintenance and repairs or special projects for equipment used in open stores.
- Assists with maintaining process documentation related to procurement of equipment used in stores.
- Perform other duties as assigned.
Requirements
Education:
- High School Diploma or Equivalent.
Experience:
- Work experience, education and/or certification related to purchase order and invoice processing in a procurement or facilities maintenance position.
- Applying strong analytical and problem-solving skills with close attention to detail in order to effectively monitor progress and complete assignments, performing all duties with efficiency and accuracy.
- Demonstrated proficiency with numerical data and
- Providing excellent prioritizing skills with the ability to manage multiple projects simultaneously and meet critical deadlines.
- Utilizing excellent verbal, written and inter-personal communication skills to establish and maintain a good rapport with co-workers, Supervisors, store personnel and vendors.
- Proficiency in the use of Microsoft Office software (Word, Excel, Outlook, )
Ability to:
- Utilize excellent verbal, written and interpersonal communication
