OPERATIONS COORDINATOR

WineCUB

We are seeking an experienced and motivated operations coordinator for WineCub.

WineCub is a fast growing multifaceted, services business for wineries. We provide storage, logistics, shipping and compliance support. We proudly store and ship wine (and other products) for over 100 clients and pride ourselves on the level of service we provide to our clients and their customers. WineCub also provides compliance services including but not limited to federal reporting, sales and excise tax reporting, monthly TABC reporting, label registration (Texas and out of state) and licensing. We show up daily with a can-do attitude as we say, we get ship done! We’re looking for a team member to join in providing outstanding service to an industry we are passionate about. This position will cover a multitude of tasks relating to both office and e-commerce shipping management. You will need to quickly become familiar with the company’s various software platforms, and you should improve upon internal processes where necessary. Additionally, you will create and update internal and external resources. You will be responsible for properly prioritizing the core tasks and customer needs to make sure all deadlines are met. You must be able to clearly and accurately explain company policies in verbal and written form since you will be helping clients navigate industry regulations and follow company processes. Therefore, you must be able to identify and draw lines in the sand, sometimes delivering disappointing messages. You will be responsible for untangling situations, recognizing potential issues and proposing solutions, escalating complex matters to the Manager. You must be an efficient and skilled problem-solver!

In sum this position demands high organization, meticulous attention to detail, constant data maintenance, excellent research skills, and efficiency. Additionally, every position here requires good judgment and a willingness to act as a professional liaison who exudes customer service. Everyone, including our fellow coworkers and surrounding neighbors, deserves our customer service oriented attitudes.

Responsibilities

  • Manage incoming emails from clients regarding shipping requests and changes
  • Answer main phone line and direct to appropriate team member
  • Schedule deliveries and outbound will calls
  • Provide customer service requests promptly and resolve issues quickly
  • Organize transfer documents such as bills of lading and inbound transfers
  • Respond to internal and external inquiries in a timely fashion
  • Recognize and identify potential issues and propose solutions
  • Meticulously document and organize information
  • Follow and improve upon processes or procedures
  • Communicate with customers, and company team members to determine necessary compliance steps

Skills

  • Computer savvy with excellent knowledge of MS EXCEL
  • Comfortable entering and retrieving data on web-portals
  • Excellent organization, and time management skills
  • Attention to detail, critical thinker and problem-solving abilities
  • Excellent customer service experience
  • Bachelor’s Degree
  • Able to self-start, prioritize, and take direction
  • Experience with critical thinking
  • Demonstrated written and verbal communication skills
  • Excellent research and analytical capabilities
  • Able to work in a fast-paced team environment and meet deadlines
  • Versatility, flexibility, and willingness to work with different technologies and a continuously changing atmosphere
  • Enthusiasm and self-motivation
  • Interest in contributing bright ideas and growing with our company

Job Type: Full-time

Pay: From $22.00 per hour
