We are seeking an experienced Office Manager to join our team on Hilton Head Island, SC. The position requires strong teaming skills, willingness to work as required to meet project schedules, and an understanding of product quality and construction. The Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation. Overseeing all office employees to ensure they are productive, meet deadlines and company standards, and accurately handle administrative duties.
Previous experience as a Front Office Manager or Office Administrator would be an advantage. Required to know Microsoft tools to include spreadsheets, email, as well as Team Meeting and be willing to learn other construction software.
Responsibilities
Serve as the point person for office manager duties including:
Maintenance scheduling
Receiving/distribution of mail, FedEx, UPS
Supplies
Equipment
Invoice entries
Errands
Shopping
Schedule meetings and appointments
Greeting visitors
Providing general administrative support to employees
Organize the office layout and order supplies as needed
Maintain the office condition and arrange necessary repairs
Partner with the Accounting Manager to enter invoices in CoConstruct's software
Coordinate with IT department on all office equipment, as needed
Assist Designers to ensure change orders are entered and invoiced
Manage paperwork for permitting as needed once jobs go to contract
Provide general support to visitors and schedule appointments with designers
Liaise with facility management vendors, including cleaning, catering and security services
Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
Reporting office progress to senior management and working with them to improve office operations and procedures
Requirements and skills
Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
Knowledge of Office Administrator responsibilities, systems and procedures
Proficiency in MS Office (MS Excel and MS Outlook, in particular)
Willing to learn new software that coincides with Winslow Design Studio
Familiarity with email scheduling tools, like Email Scheduler, Team Meetings, and Zoom
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
A creative mind with an ability to suggest improvements
Have or will become a notary
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Schedule/Benefits
Monday through Friday, from 8 am to 5 pm with occasional hours prior and after, as needed
