The WCA, one of the region’s most recognized and well regarded non-profit organizations, is seeking an energetic, mission driven talented candidate to join our team as Administrative Department Specialist. This role serves an integral part of our agency by providing general administrative support to assigned departments. This role works closely with the departmental leadership, other team members and agency clients on daily operational processes, programs and special projects. This position presents a strong sense of service, ability to manage multiple priorities and deadlines. Will complete general office tasks to include but not limited to documentation preparation, maintaining departmental records, taking and maintaining meeting minutes, filing, phones, calendar management, coordinating and scheduling of meetings as well as provide support and backup for all administrative tasks associated with the admin team, general office tasks such as typing, filing, and mail processing and assisting with projects as needed for all areas of the organization. Provides customer service to walk-in and phone call inquiries, accept donations, assist with set-up and break-down for meetings. Provides support for other administrative positions to cover vacations, sick days and lunches. Will complete check and cash processing, daily bank deposits, invoice data input, client reminder calls and other duties as needed.

The successful candidate: will demonstrate the ability to maintain strict confidentiality and the understanding and aptitude for working with sensitive topics associated with diverse demographic and marginalized populations served and:

  • Present a professional demeanor, inclusive of all clients and visitors of the WCA.
  • Excellent written and verbal communication skills and customer service skills.
  • Intermediate knowledge of GSuite and Microsoft Office solutions.
  • Proven ability to use word processing and spreadsheet applications and ability and desire to learn and master new technology and tools.
  • Be detail oriented and highly organized and be able to multitask, prioritize and meet deadlines.
  • Ability to create mailings and word documents, to accurately complete data into databases and to create reports.
  • Ability to work independently as well as in a team environment.
  • Adaptable and flexible to meet changing prioritizes.
  • Ability to travel/drive to different locations for work purposes. Possess current driver’s license and proof of auto liability coverage to meet minimum required by the State of Idaho.
