We utilize the latest medical technology to provide comprehensive diagnoses and management for individuals facing reproductive challenges.
We are seeking a Front Desk Receptionist for our Beverly Hills location.
The Front Desk Receptionist manages checking in and out process for patients and follow patients from check-in through check-out of each appointment. They maintain patient charts, appointment scheduling, as well as general clerical duties.
Responsibilities:
- Greet patients, vendors and representatives.
- Ensure patient charts & Eivf accounts are updated (labels/stickers, address updates and insurance renewals).
- Generate superbills for patients receiving.
- Maintain patient flow for doctors, nurses and ultrasound.
- Prepare new patient charts.
- Update registration process for new patients in Eivf and provide insurance information to billing department (if applicable).
- Ensure checkout desk has super bills before the patient checks out.
- Prepare superbill tickets for the following day.
- Confirm patient appointments for the following day.
- Assist the appointment desk by answering the phones.
- Prepare sign in sheets for the following day.
- Cleanup workstation weekly and ensure it is fully supplied and available for the following week.
- Answer incoming calls, return calls, and relay messages to the doctor or designated person.
- Retrieve messages left in mailbox and distribute them accordingly.
- Pull charts & prepare them for the following day. On Friday, we pull charts for the weekend and Monday (on Holiday weekends, we pull Tuesday’s charts as well).
- Schedule appointments such as consults/follow ups, initial consultations (if needed) and/or in office procedures.
- Inform patients of the cost of visit or procedures.
- Provide the patient with pertinent information or instructions depending on the type of appointment scheduled.
- Confirm appointments (if not done by check in desk)
- Schedule Lunch and Learns, lunches, meetings, personal appointments or make changes to the doctor’s schedule (if needed).
- Add surgical cases to the doctor’s schedule, according to the surgery schedule.
- Inform the nurse of any scheduling conflicts.
- Make sure the desk is supplied for the following week.
- Ensure the patient information is correct according to the superbill.
- Obtain diagnoses and charges from the nurses or doctors for the services the patient rendered.
- Receive all payments, such as, past balances, daily services, and treatment or surgical fees.
- Verify cycle starts with the nurses and inform the billing department.
- Review the ultrasound, andrology, and endocrinology logs to confirm the accuracy of my daily charges & payments.
- Separate all the superbills by doctor and file them.
- Ensure all my accounts balance.
- Close payment batches for the day.
- Ensure both, check-in and check-out schedules are accurate.
- Ensure batches are complete, in order and in an envelope for the billing department.
- Supply desk for the following day or week.
- Provide Brinks and the Bank courier with their weekly pick-up.
- Sign for deliveries made by FedEx, UPS, McKesson, Biohazard Co., Staples and Michael Lester’s office.
- Clean up the waiting area throughout the day.
Qualifications
- HS Diploma or GED
- 2-4 years 'experience in a healthcare setting.
- Strong oral and written communication skills
- Ability to manage multiple projects at a time.
- Positive attitude enjoys working directly with people.
- Excellent verbal and written communication skills
- Ability to promote a favorable facility image to patients, physicians, & physician offices
- Knowledge of computers with experience in Microsoft Office
- Ability to handle frequent interruptions that result in having to re-evaluate priorities.
- Ability to communicate effectively with center management, center staff, patients, their families, and physicians.
- Knowledge of HIPAA laws and the ability to strictly adhere to patient confidentiality.
- Familiarity with medical terminology, Private Insurance, HMO & PPO insurance plans
- Ability to communicate (verbal, written) in English and Spanish is preferred.
