Position Overview:
We are seeking a highly skilled, experienced and self-driven Operation Director to join our nonprofit organization management team. As the Operation Director, you will play a crucial role in ensuring the smooth operation and efficient function of our organization.
In this role, you will be responsible for overseeing and managing all aspects of our organization's operations, including but not limited to human resources, facilities, IT, data collection, and logistics. You will collaborate closely with the executive team to develop and execute strategic goals, ensuring that our organization remains sustainable and impactful in achieving its mission.

Essential duties and responsibilities include the following:
· Provides day to day operational leadership and support to staff that mirrors the mission and core values of WE with the highest level of personal and professional integrity.
· Ensure consistent and clear internal communications in a timely manner.
· Oversees, directs and manages all day to day operations.
· Develop implements and manages operational policies and procedures and KPIs.
· Find solutions to complex problems by breaking down complicated issues and communicating effectively to the ED and staff.
· Work with certain board committees related to operations and work culture, in order to meet organizational goals.
· Ensure all legal and regulatory documents are filed, reported, audited and in compliance with laws and regulations for the organization.
· Takes action to improve performance and meet organizational goals.
· Responsible for the oversight, input and development of best practices for HR and related functions Initiates and implements process improvement strategies relating to workflow, quality of programming, safety and experience.
· Works with ED and leadership team in planning and formulation of the long range goals for the organization.
· Ensure all programs and departments meet the short term and long range plans, and budgets based on the defined agency goals and growth objectivities.
· Develop policies and procedures and encourage adherence.
· Knowledge of data collection analysis and performance/operation metrics.
Facility and Operations
· Develop, document, update and manage facility processes and procedures.
Work with staff to ensure a safe, clean, fully functioning and cost effective office environment.
· Establish, maintain and manage relationships with vendors, consultants and contractors.
· Purchase supplies as needed from preferred vendors with attention to costs savings and order deadlines.
· Manage facility to appropriate standards and act as liaison with building owner. Uphold “Neighborhood Agreement” and coordinate and facilitate neighborhood meetings.
Technology, Information and Office Systems
· Develop, update and manage the technology and information systems policies and procedures for the organization.
· Manage office/technology equipment and office furnishings inventory, assess needs and make recommendations to management. Provide training to staff on office equipment as needed.
· Work with IT contractors to troubleshoot computer equipment and facilitate technology maintenance. Assist staff with technology needs and issues as they arise.
· Coordinate with staff on electronic and physical file storage for the organization.
Database Management
· Coordinate and facilitate data collection and reporting for the organization.
Safety & Risk Management
· Responsible for the day-to-day supervision of Safety Monitors and developing and implementing established safety procedures.
· Lead the Safety Committee for the organization.
· Develop, update and manage all safety and risk management policies and procedures.
Human Resources
· Conduct new hire orientations and exit interviews.
· Ensure creation of personnel files and maintain other employee documents in a confidential, orderly and accurate manner.
· Administer employee Medical/Dental/Vision/Life Insurance and Simple IRA benefits.
· Oversee the administration of fingerprinting and life-scan policy.
· Develop and oversee personnel policies, procedures and documentation.
· Ensure compliance with labor regulations
· Provide support to employees in HR-related topics
· Enhance job satisfaction by resolving issues promptly and providing appropriate follow-up.
· Gain the trust and cooperation of others to effectively communicate concepts and ideas to motivate and to hold staff accountable.
Qualifications and Job Requirements:
· Bachelor’s degree in administration, management or related field preferred
· Experience with technology and database management preferred.
· Experience as a human resources generalist required
· Excellent customer service skills
· Organized and detail-oriented
· Outstanding communicator both verbally and written
· Excellent judgment and creative problem solving skills including negotiation and conflict resolution skills.
· Ability to successfully meet deadlines.
· Job offer is contingent upon successful completion of background fingerprint check.

Physical Requirements:
Physical requirements are those that are present in normal office environment conditions, and will involve moderate lifting.
· Nature of Supervision Received:
· Daily activities are performed independently with guidance and direction from the Executive Director. Must be able to work independently toward the attainment of programmatic, operational and organizational goals.
· Duties may involve occasional evening and weekend work to meet programmatic and organizational needs.
