World Relief Seattle is a Christian non-profit organization that provides support to refugees, asylees, and other immigrants in Western WA. We envision every refugee and immigrant welcomed by community, rooted in community, and empowered for community. World Relief Seattle seeks outstanding candidates for this important position to advance the cause of helping immigrants and refugees rebuild their lives in our community. The Outreach Assistant will provide essential support for fundraising, communications, donor relations, and events. Full time, permanent position. Hourly wage DOE base $19.50/hour.
ESSENTIAL FUNCTIONS:
General Outreach – 20%
- Work closely with the Outreach Team to maintain and document best practices that value and respect partners and donors.
- Monitor and promptly respond to queries from the public via email and telephone
- Support logistical planning of outreach events as needed, including
- Organizing and following up with various aspects of multiple events
- Assistance with securing donations of goods and time
- Tracking of details and cost to stay within budget and event guidelines
- Coordination of event tasks with other staff and volunteers
- Oversee events on the day-of, including problem-solving, directing event set-up and breakdown, organizing vendors
- Work closely with team to stay on top of attendee communications
Fundraising – 60%
- Communicate with World Relief’s Donations Management Team to facilitate a smooth donor experience
- Implement processes and best practices to maintain accurate donor data, including regular use of Microsoft Dynamics, Raiser’s Edge NXT, Constant Contact, and other data sources
- Develop and implement a process to document and receipt in-kind donations
- Coordinate prompt acknowledgement and follow up to donations, including preparing thank you cards and follow up communication with donors
- Assist the Outreach Specialist to coordinate the logistics of direct mail, including
- Managing the mailing permit and associated fees
- Navigating the USPS IMsb tool
- Serving as liaison for the USPS Business Mail Entry Unit
- Coordinating staff, interns, and volunteers to help prepare mailings
- Oversee logistics of corporate matching gifts and other pass-through giving
Volunteer Coordination Support – 20%
- Assist Volunteer Coordinator with completing volunteer reference checks
- Enter volunteer data in Dynamics database
- Oversee volunteer background and driving check process
- Support volunteer coordinators with trainings and other tasks as needed
KNOWLEDGE, SKILLS & ABILITIES:
- Eagerness to learn and implement new digital tools
- Ability to prioritize tasks, set goals, and take initiative on several projects at once
- Creative, flexible, and self-motivated in pursuit of goals
- Experience working or volunteering with immigrants or in a cross-cultural setting helpful
- Knowledge of a second language helpful
- Candidates from refugee, asylee, or other immigrant backgrounds are encouraged to apply
REQUIREMENTS:
- Mature and personal Christian faith
- Committed to the mission, vision, and values of World Relief
- Desire to serve and empower the Church to impact vulnerable communities
- Associate’s degree or equivalent experience required, Bachelor’s degree preferred
- Exceptional organizational skills, attention to detail, and proven follow through with multiple tasks
- Strong written and verbal communication skills with an excellent grasp of grammar and tone
- General computer literacy, proficiency in Excel, and familiarity with other Microsoft Office products
- Experience in customer service, event coordination, marketing or fundraising is highly desired
PHYSICAL DEMANDS:

- While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations

WORK ENVIRONMENT:
- General office setting
- Great lengths of time working on computer, reading from computer screen, entering information, standing at copier or fax machine, and some time on the phone or in skype meetings may be required
- Year-end archiving activities involve repeated lifting and bending
- Physical, emotional and intellectual demands
- Equipment used: Employee computer (desktop or laptop), printer, and copier
