COMMERCIAL PROPERTY MANAGER
Job Summary:
The Property Manager (PM) will be an integral member of the property management team. The PM will be the direct supervisor to the Assistant Property Managers (APMs) for their designated portfolio of properties. The PM will ensure a high level of professionalism related to all assigned property management tasks and will be responsible for performing regular PMA/APM performance reviews. The PM will collaborate with other PMs on the Team and report to Asset Managers (AM) for items related to client portfolios and licenses. Job duties include, but are not limited to, the essential functions listed below.
Tenant and Client Relations:
Build and develop service-oriented relationships with tenants and clients
Answer and respond to tenant or client phone calls and emails escalated by the APM
Review memos in Commercial Café for distribution
Oversee work orders and communications to tenants as repairs and routine maintenance are completed by vendors
Leasing:
Assist AMs and clients with leasing strategies and proposals for renewals as required
Lead negotiations with tenants to come to a favorable agreement for the Landlord
Fill-in leases, amendments and TI construction contracts per the agreed upon terms for AM review
Oversee the (APM) process of lease file creation and maintenance
Review and approve lease abstracts for activation in Yardi
Oversee new tenant communications and assist with higher-level questions as needed
Work with VP of Construction to manage the Tenant Improvement and construction process as required for new lease buildouts or renewal improvements if required by lease
Work with outside brokers as needed regarding vacancy showings, space planning, tenant improvement pricing, etc.
Assist with due diligence, estoppels, etc. in the event of a property acquisition or sale
Financial and Reporting:
Prepare operating budgets for AM and client review and approval
Review and approve invoices in AVID
Draft monthly financial reports for review and compilation by APM/PMA
Review and approve final monthly financial reports for distribution through SharePoint
Complete CAM Reconciliations upon tenant move-out and annually each Spring as required by the lease agreements
Work with Accounting and AMs as needed to answer client and CPA questions that may arise
Work with AMs to establish and approve Owner Distributions
Track expenses against the budget throughout the year and meet Ownership-directed performance goals
Review tenant aging reports monthly and follow up with tenants regarding delinquent accounts
Facilities:
Build and maintain vendor relationships
Respond to vendor phone calls and emails escalated by the and APMs
Oversee APM coordination and relationships with third-party vendors - janitorial, security, landscaping, roofing, towing, HVAC, pest control, elevator, lighting, etc.
Oversee the tracking and scheduling routine and seasonal maintenance including catch basin cleaning, backflow testing, fire systems testing, roof clean and detail, and winterization
Manage RFP and bid process for new service providers and large-scale projects
Review and sign APM-drafted maintenance and service contracts
Review and approve annual snow & ice removal forms
Periodically review emergency call-down lists for fire systems, security, etc.
Perform regular building inspections
Qualifications:
Preference will be given to candidates with an associates or bachelor’s degree
Retail property management experience a plus
4 years or more of prior general business experience
Prior property management or project management experience is required
Self-starter who works well in a team environment and independently
Strong reasoning, organizational, prioritization, problem-solving and customer service skills
Ability to effectively communicate information and ideas orally and in writing
Technologically and mathematically adept
Proficient in Microsoft Office applications with Excel experience a plus
Familiarity with Yardi, Commercial Café, Avid, SharePoint, and Microsoft Teams appreciated
Strong understanding of financial reports, including variance of actual vs. budget numbers
Oregon and Washington Real Estate License required (if not, need to obtain within 6-9 months)
