This role will provide an exceptional level of personal support to senior management and the team within the legal function of the organization, taking responsibility and ownership for a wide variety of administrative and supportive tasks, working with a high level of autonomy and initiative to ensure the maximum efficiency of the business area and senior roles it supports.
Key responsibilities of this role are:
Internal Meetings and Communication
- Support for internal events, e.g., Town Halls, all-colleague offsites, Senior Leadership Team meetings and events, where required. Including logistics support, coordination with the event team, as well as input on content, such as social activities
- Providing general executive assistance, drafting correspondence, preparing reports/documents, drafting agendas, taking and distributing minutes for meetings
- Designing presentation slides to a high level of professionalism and accuracy
- Management of confidential and highly sensitive Board and Senior Management reports and documents, using utmost discretion and judgement.
- Acting as the point of contact with colleagues on various projects and tasks
- Organize team communications in Teams, mailings, etc.
Admin
- Diary and meeting management as required, scheduling meetings, and assisting with meeting rooms, video conference facilities etc.
- Booking all travel/conference/seminar requirements for the team in accordance with Company policy. Coordinating travel itineraries and ensuring visas/documentation is in place
- Assisting with expense claims submission
- Providing administrative and clerical support as requested e.g., filing, archiving, etc.
- Taking responsibility for the team working environment ensuring the office space is fit for purpose and fully equipped (e.g., ordering stationery)
- Perform office support, such as spreadsheet creation, mailings, maintain share drives, Teams groups, contact database, etc.
- Support on budgeting and planning processes
You will report to the General Counsel, AXA XL, and provide support as well to the Chief of Staff, Legal & Compliance.
SHARE your talent
We’re looking for someone who has these abilities and skills:
- Proven experience in an assistant role (typically at least 5 years minimum), excellent keyboard skills, minute taking, grammar and numeracy, working to high level of accuracy and detail
- Proficient user of Microsoft software, in particular Word, PowerPoint, Excel. Previous experience and aptitude in other systems (planning, budgeting, expenses, HR etc.).
- Able to organize self with effective scheduling, prioritization, and time management skills, completing tasks to tight deadlines. Demonstrating a ‘can do’ attitude
- Ability to build effective working relationships (internally/externally), establishing credibility amongst a wide and demanding client group
- Effective communication skills, exercising appropriate discretion in dealing with people from all levels of the Company
- Comfortable taking ownership for own work, identifying the need for action (using initiative) whilst working effectively within a team
- Displays a resilient and adaptable style with a track record of remaining calm in demanding circumstances and adjusting comfortably to changing conditions / priorities
