JOB SUMMARY
The Procurement Specialist is responsible for purchasing materials, parts, supplies, tools, equipment and services as required for the operations of the company in order to support customers and production. They are to consult with the YAC Production, Engineering, and Sales teams in order to ensure all materials purchased are within budget and received by the due date. They must follow-up on ordered parts to ensure project deadlines are met. The Procurement Specialist must maintain good relationships with all vendors. They will also be responsible for miscellaneous administrative duties.
PRINCIPAL JOB RESPONSIBILITIES
- Maintain good relationships with domestic and international vendors such as manufacturers, trading companies, distributors, and processing companies. Confer with vendors to obtain product or service information such as price, availability, and delivery schedules.
- Receive purchase requisitions from employees, create purchase orders on all materials in QuickBooks, and order all materials from the approved vendor list. Prepare request for quotes (RFQ) on materials when necessary. Establish pricing, lead times, freight costs, and payment terms.
- Regularly communicate information regarding purchased materials, prices, lead times, issues, etc., to employees and management. Must follow through with communications on requested parts from placing the order through delivery of parts to appropriate person/project/department/vendor.
- Provide the Procurement Manager information in regards to current vendor material costs, lead times, actual delivery times, and quality of materials.
- Utilize purchase history information in order to negotiate a standard price for repeat purchasing with a goal to reduce expenses.
- Consistently follow-up on purchased items to ensure they are delivered according to the project schedule. Communicate with vendors regularly in order to ensure delivery dates are met, questions and concerns are answered, and that quality is maintained.
- Coordinate remedies for defective or unacceptable goods or services. Coordinate returns or exchanges of purchased items to vendors.
- Maintain and stock necessary materials for production efficiency while reducing waste.
- Arrange and coordinate pickups/shipments of materials and products. This will include shipments to and from YAC. Create appropriate packing slips and commercial invoices for domestic and international shipments.
- Communicate and recommend ways to improve department inefficiencies such as processes, procedures, forms, meetings, etc.
- Manage the office supply and break room inventories. Order and distribute supplies per company procedure.
- Perform a wide variety of technical and office administrative duties as required by daily operations.
- Manage and coordinate facility/equipment maintenance. This includes scheduling service calls, preventative maintenance, and annual inspections with vendors for office equipment, landscaping, security, HVAC, backflow, sprinkler, fire extinguisher, cleaning and other companies generally related to facilities management.
- Assist employees, visitors, Yutaka staff, and others with emergency travel arrangements as requested. This includes booking flights, rental cars, hotels, and other miscellaneous reservations. This also includes issue/billing resolution.
- Other duties as necessary to ensure organizational success and customer satisfaction.
High School Diploma
Associate’s/Bachelor’s Degree is preferred
QUALIFICATIONS AND EXPERIENCE
- 1 years related purchasing experience in a manufacturing environment.
- Fluency in English and Japanese language, oral and written is a plus.
- Strong customer service orientation.
- Must possess proficient computer skills. Ability to demonstrate experience with Microsoft Office programs such as Word, Excel, and Outlook. Experience with accounting software, QuickBooks, is a plus.
- Must be organized and detail oriented with the ability to prioritize assignments and follow through with accuracy.
- Proven written and verbal communication skills with the ability to communicate with all levels inside and outside the organization. Must be able to successfully interact with all internal departments to meet their needs.
- Strong analytical and problem-solving skills.
- Shipping experience, including international is a plus.
- Experience reading Engineered drawings is a plus.
