What are the responsibilities and job description for the CC10-05-YC-Business Services Coordinator position at YMCA of Metropolitan Dallas?
We are currently seeking a Business Services Coordinator who will give administrative support to the CCAC Business Services Director, annual campaign, and will be responsible for the business office functions and administration of Camping Services business policies and practices at the Camp Grady Spruce and Collin County Adventure Camp. This position will start as a Part Time position and transition to Full Time.
Primary Duties
- Provides administrative support to the Collin County Adventure Camp Business Services Director.
- Coordinates communication and supports the Board of Managers.
- Serve as key leader for annual campaign and specifically tasked with running reports, oversight of the development of collateral, processing required paperwork, assist in planning of special events, donor recognition, and support staff and volunteers with resources for the campaign.
- Oversee all business office functions at both branches to ensure quality and customer satisfaction.
- Assist with program A/R with chief responsibility of ensuring that collections are being done (EFT exception reports, monthly statements).
- Handle daily branch accounting - Shift close, deposits and reporting. Responsible for reconciliation of daily deposits, refunds, invoicing, running reports, NSFs, credit card renewals, bank drafts & credit card corrections on hold updates.
- Oversight of AP, including bill coding and contract labor payment.
- Handles branch admistrative duties such as but not limited to supply ordering, training compliace, mail distrubution, running reports, branch communication, website maintenance, and updating social media.
- Support with program registration and product set-up. Responsible for public relations - newsletter to members and donors, PSAs and other ways to promote goodwill of the Y.
Typical schedule is 25 hours per week, Monday - Friday 11:00 am - 4:00 pm.
Position Requirements:
Minimum 3 years experience in business office related position. Must have strong analytical and computer skills. Capable of communicating with all levels of staff and volunteers. Highly organized and ability to handle multiple high level priorities. Flexibiliy is key. Must have great oral and written communication skills. Should be competent in financial management systems, business operations and social media (facebook, twitter). The incumbent must be able to gain a thorough understanding of day-to-day management of YMCA camp business, and program policies and procedures. Critical to this position are flexibility and the ability to build strong relationships, inspire confidence, and work effectively with staff, volunteers, and members at multiple branches. Must obtain and maintain any required training for this position. Ability to work some evenings and weekends. Bilingual (English/Spanish) a plus.
