Position Summary

The Assistant Director of Operations coordinates general campus operations and assists with special projects; supervises the Business Office Coordinator; manages YWCA’s Utah’s in-kind donations program and, with the support of the volunteer coordinator, supervised in-kind volunteers. This position works closely with the Director of Operations to develop strategic initiatives that support staff campus-wide and works collaboratively with colleagues across the organization to create and maintain excellence throughout all YWCA programs and services.


Essential Job functions

  • Campus Operations
  • Work with Director of Operations to develop systems, processes, and procedures that deliver exceptional customer service to all YWCA constituencies including staff, donors, residents, and volunteers.
  • Maintain thorough knowledge of YWCA policies and procedures and implement them in a fair and consistent way.
  • Provide support to all staff, including but not limited to:
  • Support facilities, food services, and IT
  • Support programs with operational needs.
  • Manage inventory of program supplies and IT assets
  • Promote a healthy work environment, and create a cohesive, effective staff team dedicated to the quality of their own work and to making a positive contribution to the success of the YWCA.
  • Work with finance team to maintain records.
  • Works collaboratively with the People and Culture department to onboard/offboard staff and manage staff intranet.
  • Assists Director with security system monitoring and maintenance.

  • Business Office
  • Supervise the Office Manager by providing support, resources, and opportunities that they need to do their jobs successfully and grow professionally.
  • Provide backup support in the Office Manager's absence, which may include petty cash reconciliation, keycard assignments/troubleshooting, processing daily receivables,

  • In-Kind Donations Program
  • Work with program staff to understand programmatic supply needs, requests, and distribution.
  • Work closely with shelter on management of the client boutique.
  • Develop systems and processing for in-kind donation asks/procurement, intake, inventory, and distribution.
  • Coordinate with and/or report to Development Department on requests, donation records, and donor acknowledgment.
  • Provide training to and supervise in-kind program volunteers.

Additional Duties & Responsibilities

  • Know and follow all established organizational and program/department- related policies, procedures, and protocols.
  • Uphold and act in accordance with the mission of the organization.
  • Model YWCA community standards and encourage program participants and other staff to follow them.
  • Monitor campus security in collaboration with all staff to protect the safety and well-being of program participants, staff, and visitors.
  • Attend all required staff meetings, individual and/or group supervision, agency-wide staff and other trainings, as well as any other meetings and activities as requested.
  • Maintain all certifications and licensing related to role, program licensing, and grant standards including but not limited to: CPR, First Aid, Food Handlers Permit, LCSW/CSW/SSW, etc.
  • Demonstrate commitment to understanding and using Sanctuary Model principles, language, and tools in daily work.

  • Technology/Tools: Ability to use various computer systems and applications including proficiency in online and electronic communication strategies.

Qualifications

Minimum qualifications include a combined 2-5 or more years of education and experience in office management, operations, logistics, program planning, project management or relevant and transferable skills and abilities. Additional skills and qualifications include:

  • Ability to work scheduled hours on a regular basis, some weekends and evenings required.
  • Proficiency with general office duties, computer systems and technology.
  • Excellent writing and interpersonal communication
  • Demonstrated ability to work independently, manage time, evaluate progress, and adjust activities to complete projects within established timeframe.
  • Skilled in establishing effective working relationships.
  • Ability to collaborate and invite collaboration.
  • If driving on business, a valid Utah driver’s license, access to an automobile, and valid auto insurance required.
