Behavior Independence Soldotna Clinic is seeking an Intake Coordinator to manage the client onboarding and coordination of referrals of new clients as well as assist in re-authorization of current clients under the direction of the Billing Manager.
Primary Responsibilities:

- Answering all inquiries (phone, email, fax, etc.) as well as greet clients and visitors
- Ensure visitors sign visitor agreement upon entry of clinic
- Send Welcome packet and required intake documents to new clients in a timely manner
- Manage all intake documents, referrals, and ensure intake checklist is complete
- Communicate updates and changes with Billing Manager and Clinicians
- Input demographics, authorizations, and other intake documents into database and systems
- Send intake documents for signatures
- Send progress reports to referring and primary providers
- Assist in scheduling assessment appointments, updating clinician calendars
- Track client requirements for re-assessment and other requirements based on insurance funder
- Work under Billing Manager to assist in entire authorization and re-authorization process, and billing claims if needed
- Become proficient in insurance requirements for ABA, OT and Speech
- Maintain a professional relationship with referring providers
- Conduct Benefits Verifications
- Acts as a resource to families with questions about intake process and services provided
- Adheres to clinic policies and procedures, maintains strict confidentiality, and adherer's to HIPAA guidelines and regulations
- Complete any administrative tasks as directed by Billing Manager or Clinic Clinician
Experience and Skills
- At least 1 year experience in ABA, Speech, OT, medical, or similar setting
- Experience with Autism or other developmental Disorders
- Knowledge of HIPAA rules and regulations
- Preferred experience working with medical insurance processes (including commercial insurance, Tricare, and Medicaid)
- Strong professional phone and email etiquette
- Strong skills in Google Workspace and Excel
- Excellent Customer Service
Required
- Must be able to pass a State and Federal Background check with Fingerprints
- Must be reliable and the ability to work 9:00am - 5:30pm Monday - Friday
- Must have high school diploma or GED minimum
