Position Summary
Greets and assists customers (participants, providers, etc.) in face-to-face interactions or by telephone, serving as the first point of contact. Responds to routine questions and requests via phone, in-person, fax or email to support the general office/department workflow. Performs general clerical support such as filing, mailing distribution, phone support, data entry and basic document creation, ensuring services are provided in an effective and efficient manner. Works under routine supervision.

Key Duties and Responsibilities
- Answer incoming telephone calls; greet, identify, and direct callers to the appropriate personnel.
- Take and retrieve messages and coordinate appointments as necessary.
- Respond to basic inquiries from participants, beneficiaries, and union representatives regarding benefit plans.
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
- Keep reception area tidy and stocked with forms and booklets.
- Assist in preparation of various correspondences and completion of various forms.
- Perform general data entry.
- Perform other related clerical duties such as handling incoming mail, photocopying, scanning, faxing, filing and collating.
- Perform special projects as requested by management.
- Consistently meet quality and production standards for this position.
- Consistently demonstrate excellent attendance and punctuality.
- Perform other duties as assigned within the scope of responsibilities and requirements of the job.
Occasional work outside of normal work hours (i.e. weekends/extended hours) based on business needs.
Working Conditions/Physical Effort
- Normal degree of physical effort in typical office environment with comfortable, constant temperatures and absence of objectionable elements.
- May be subject to interruptions.
- May be required to lift a maximum of 60 lbs.
- Must be able to have flexible work schedule when workflow requires.
- Meet established attendance and punctuality guidelines.
Minimum Qualifications
- High school diploma or equivalent.
- Minimum 6 months prior general office experience or other related experience.
- Prior multi-line telephone experience strongly preferred.
- Solid organization skills with strong detail orientation/high degree of accuracy.
- Ability to communicate clearly and professionally, both verbally and in writing.
- Possess a strong work ethic and the ability to work effectively in a team environment.
- Highly developed sense of integrity and commitment to customer satisfaction.
- Ability to follow standard operating procedures.
- Basic PC skills, including MS Word and Excel.
- Able to maintain excellent attendance and punctuality.
- Ability to effectively interact on a regular basis with management and other personnel within the Company.
- Must be able to work in environment with shifting priorities and to handle a wide variety of activities and confidential matters with discretion.
