Job Summary
Provides administrative support and materials management coordination for assigned department. Responsible for organizing, prioritizing and completing clerical projects and provide support to all areas of Materials Management including Purchasing, Receiving, Warehouse Distribution, Central Services, Mailroom, and Print Shop. Provide project management and delegation on behalf of the MM Director. Assist with ordering, confirmations, filing, invoice adjudication, receipts, back orders, item file and contract management. Works with Group Purchasing Organization, Suppliers, and Buyers to add and change contract information in MMIS. Manages the supply/equipment recall process. Assists Director with high level requests, delegation of Directors email and daily work schedules and tasks.
Essential Functions
Provides clerical, reception and coordinates support for Materials Management. Distributes department mail daily incoming and outgoing. Answers telephone and relays messages to appropriate staff. Maintains filing system for Director of Materials Management. Responsible for regulatory/compliance paperwork and documentation and retrieval of product recalls and non-conforming products and equipment. Attends specified meetings as necessary for department representation. Records minutes of meetings as requested. Coordinates, updates and distributes project lists. Assists in all areas of Materials Management as assigned to aid staff with supply requests or deliveries. Assists in scheduling meetings for Director of Materials Management. Copies and distributes invoices to Finance and maintains log. Maintains department policies and procedures. Assists Director of Materials Management with daily email, voicemail, department mail and delegates to appropriate staff for follow-up and completion. Responsible for follow-up and adjudicating invoice exceptions and price variances/discrepancies. Serves as customer service representative of Materials Management, takes lead in resolving errors, conflicts and issues with vendors, suppliers and hospital staff. Assists Director of Materials Management with projects and FF&E tracking. Manages surplus equipment and outdated supplies for proper disposal or donation. Orders office supplies and forms for department. Monitor and maintain inventory of office supplies. Prepare monthly Board presentations as required. Complies with all SVH Policies and Procedures. Demonstrates Service Standards and Universal Attributes on a consistent basis. Completes other duties as assigned by Director.
Education
High school graduate or equivalent required. Some college coursework in administrative office skills preferred.
Experience/Training
Minimum of two (2) years of clerical experience in healthcare or Materials Management department preferred. Other related healthcare experience is helpful.
License/Certifications
Current Washington State Driver’s License and proof of Insurance.

Ability to perform assigned tasks in a timely and accurate manner. Must possess strong interpersonal, communication and organizational skills. Flexibility required to adapt to varying work load and variety of projects and tasks. Must be organized and work well under stress. Requires proficiency in use of Microsoft Office products. Understanding and ability to assist with tracking of construction projects for fixtures, furniture and equipment (FF&E).
