The Payroll Manager will report to the Human Resources Manager/Director and will support all duties associated with the accurate recording of payroll, and related financial activities for the three entities for payroll in the US. This role will work closely with the company’s other departments and ADP. Perform all functions related to payroll, including but not limited to:
- Overseeing and directing all payroll procedures, ensuring compliance with laws and tax obligations, supervising the payroll team, and maintaining accurate payroll records.
- Reconciling payroll.
- Balancing, and recording all payroll, accruals, reconciliation, research of reconciling items, data requests, etc.
- Process and transmit weekly and biweekly payroll for 3 entities using ADP Workforce Now- 550 Employees.
- Analyze and provide monthly and quarterly balance sheet analysis to corporate accounting.
- Works closely with cross-functional teams on all general ledger-related tasks, including accounting.
- Engage with external payroll vendors and tax authorities related to researching and resolving payroll tax notices, tax filing, and funding of payroll taxes.
- Ensure controls, including all controls are properly performed within the payroll accounting process.
- Evaluate and recommend process changes to increase efficiency.
- Provide relevant tax and general ledger metrics to upper management.
- Assist with research projects and preparation of management reports as needed.
- Lead quarterly and annual audits with external auditors as needed.
- Answer accounting and financial questions by researching and interpreting financial data.
- Perform special projects and other duties as assigned.
Essential Job Functions:
- Managing electronic timekeeping systems.
- Calculating payable hours, Fringe Benefits, bonuses, tax withholdings, and deductions.
- Preparing and issuing earnings statements.
- Issuing paychecks and managing direct deposits.
- Coordinating with the HR department to ensure correct employee data.
- Checking the number of hours employees have worked- Verifying Diver Settlements.
- Calculating wages and salaries.
- Calculating pay raises shift payments and overtime compensation.
- Issuing tax forms and related documentation and assisting employees to complete them.
- Deducting tax and insurance payments.
- Resolving issues employees have with time sheets and other payroll matters.
- Initiating direct deposits.
Required Education and Experience:
- Minimum of 4-6 years of accounting experience in payroll and general accounting.
- Knowledge of payroll regulations, multi-jurisdictions, and software.
- ADP Workforce Now experiences required.
- Excellent organizational and leadership skills.
- Minimum of 2-3 years of recent multi-state employment tax experience, including but not limited to federal/state/local tax regulations and the filing of associated tax returns.
- Able to work independently managing time to meet critical deadlines.
- Maintain confidentiality in all assignments and in all information obtained.
- Strong work ethic and flexibility to work extended hours during critical periods such as quarter-end and year-end.
- Performs with a high degree of accuracy and attention to detail.
- Good working knowledge of Microsoft business suite with strong Excel skills.
- Excellent verbal and written communication skills with the ability to interact at all levels of the organization both internally and externally.
- Knowledge of Quick Books, TMW preferred.
- Knowledge of prevailing wage is highly preferred.
- Working with Service Contract Act and fringe benefits payroll experience is highly preferred.
Pay:
- The pay is competitive, depending on experience. Salary range of $68,000 - $76,000.
