    WSKG is looking for an Executive Assistant to provide administrative support to our new President and
    CEO. The successful candidate will assist with strategic planning and employee engagement activities, and serve as the primary staff liaison to the Board of Trustees. This position also assists with daily development and finance duties.

    Responsibilities:

    Administrative Duties:

    • Provides administrative support to the President/CEO including proactively managing calendar, scheduling meetings, and events; coordinating logistics; and preparing agendas.
    • Builds and maintains positive relationships with internal and external stakeholders, acting as a primary point of contact. Responds promptly and professionally to the Board of Trustees and other stakeholders’ requests for information or support, as appropriate.
    • Assists with planning, organizing, and execution of monthly staff meetings and staff appreciation & team building events including retreats, holiday party, summer picnic, etc.

    Board of Trustees (BOT) Duties:

    • Serves as the primary point of contact between the President and the Board of Trustees.
    • Organizes and prepares for Board Meetings, including gathering documents and attending to logistics of meetings.
    • Helps create agendas, coordinates resolutions and other action documents, records the minutes and maintains permanent meeting records, and tracks follow-up items.
    • Maintains BOT/committee member web portal and ensures all necessary documents are available and accessible. Updates and maintains all BOT resources including by-laws, policies, lists, etc. Documents and tracks BOT and committee member cultivation and stewardship efforts. Send reminders as needed.

    Finance Duties:

    • Undertake tasks related to the finance/accounting functions as assigned, including the timely and accurate processing of daily check deposits, accounts receivable & payable activities, and act as liaison to NETA-our outsourced financial organization

    This includes performing or facilitating the following:

    • Properly review, approve, code and scan all invoices daily to ensure prompt payment
    • Properly handle daily checks from accounts receivable, business sponsors, and grant monies. Prepare checks for bank deposits
    • Provide documentation (credit card/bank statements, etc) in a timely manner for monthly financial statements
    • Perform daily reconciliations of all bank accounts
    • Review and process employee credit card expense reports and employee expense reimbursement reports
    • Daily deposits of all A/R, membership and underwriting.
    • Reconcile bank statements; provide journal entries for electronic payments to bank accounts.
    • Track and report underwriting payments for commission for our Business Sponsorship Coordinators

    Knowledge, Skills and Abilities

    • An Associate's degree in Business Administration, Communications, or a related field is required. Bachelor’s degree preferred.
    • Proven experience as an Executive Assistant or in a similar administrative role, supporting high-level executives.
    • Knowledge and understanding of Board meetings, agendas, resolutions and minutes.
    • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
    • Strong attention to detail and the ability to maintain accuracy and high-quality work in a fast-paced environment.
    • High degree of self-directed initiative, creativity and individual judgment.
    • Excellent written and verbal communication skills, with the ability to draft professional documents and effectively interact with stakeholders at all levels.
    • Proficiency in using office productivity software (e.g., Google and Microsoft Office Suite) and familiarity with calendar and project management tools.
    • Demonstrated ability and experience to handle sensitive and confidential information with discretion and professionalism.
    • Strong problem-solving skills and the ability to anticipate needs and proactively address challenges.
    • Flexibility and adaptability to changing priorities and deadlines.
    • Professional demeanor, positive attitude, and the ability to work well both independently and as part of a team.

    Equipment Listing (Machines, Tools, Software)

    • Must be able to operate Computer, Email, Google and Microsoft Suite.
    • May be required to operate Printer, Copier, Fax Machine, Telephone, Scanner, and calculator.

    Supervisory Responsibilities

    This position does not have any direct reports and has indirect responsibilities for the behaviors of other employees.

    Salary Range: $48,000 - $52, 000 FLSA status: Non-exempt
