Accounts Payable Analyst jobs in Passaic, NJ

Job Summary: Overall responsibilities include the timely and accurate processing of Vendor bills and the generation of customer invoices daily. Also, provide assistance to the Director of Accounting during the monthly accounting closing process on the preparation of accrual spreadsheets and provide research when warranted. Update billing information onto the Key Stats worksheet, reconcile vendor statements, and respond to emails regarding Accounts Payable and Billing issues.

Essential Job Functions

Accounts Payable:

• Process Vendor bills from: general purchases, board purchases, freight, misc.
• Open and sort mail as required
• Match vendor bills with purchase orders and receiver documents, if applicable
• Obtain Supervisor approvals, when applicable
• Provide Account code for vendor bill
• Enter vendor invoice information into ERP system
• Schedule payment based on agreed upon terms
• Generate system AP check
• Mail checks

Billing:

• Enter billing information into ERP system daily
• Verify prices to price sheets, if applicable
• Generate Accurate’s invoices for distribution daily
• Post Accurate’s Invoices daily within ERP system
• Print Accurate’s invoices daily
• Hand off Accurate’s Invoices to AR Clerk for distribution and filing

Provide assistance to the Director of Accounting during the Accounting closing process:

• Prepare “BLUE BOOK” Vendor Invoices for purposes of accruals
• Prepare “RED BOOK” Purchase Orders for purposes of accruals
• Review the previous period’s accruals to ascertain whether paid and communicate results back to the Director of Accounting
• Prepare monthly accrual spreadsheet for both the “BLUE BOOK” & “RED BOOK”

Additional Responsibilities

• Update billing on the Key Stats worksheet, daily
• Reconcile Vendors statements
• Answer e-mails or make phone calls to companies with account questions and problems
• Fill in at the reception desk as needed answering calls and greeting visitors
• Additional accounting duties as needed by the Director of Accounting

Job Qualifications

• Prior Accounts Payable and Billing experience required (5 years preferred)
• Prior experience with Accounts Payable and Billing modules within ERP systems
• Strong mathematical skills with proficiency in Excel and Microsoft Office
• Strong interpersonal skills /Ability to work with others at all levels within the organization
