JOB SUMMARY
The Accounts Receivable Clerk if primarily responsible for counting and depositing all monies received by Times Super Market, Ltd. Work involves billing for Vendor Coupons, Product Coupons, HMSA claims and charges. Posts to the General Ledger accounts. Prepares data for SBC submission. Collects from vendors for damaged merchandise.
Essential Duties and Responsibilities:
Issue bills and invoices
Files and maintains all credit memo invoices.
Enter daily cash receipt deposits against Daily Deposit Log and GL Accounts.
Enters finalized cash receipts and updates accounts receivable ledger by customer.
Files check stubs and bank receipts.
Ensures that payments are posted and distributed accurately and within required time
Researches, identifies and allocates all payments.
Processes charge backs, returns, and bad checks.
Ensures timely resolution of invalid deductions and short payments.
Answers accounts receivable phone inquiries and follows up.
Obtains and mails invoice copies for customers, as requested.
DUTIES
1. Counts Store receipts.
2. Deposits all cash received by Times Super Market, Ltd.
3. Separates WIC coupons.
4. Sends out invoices for WIC coupons, Vendor coupons, Product coupons, HMSA claims and charges.
5. Posts receivables onto the General Ledger accounts.
6. Processes register change accounts.
7. Prepares paperwork for submission to SBC.
8. Balances Vendor coupon payments.
9. Xeroxes purchase orders and sends copies to the respective Stores.
1. Types up billings for Vendor and WIC coupons.
2. Counts the Office soda vending machine money.
3. Mails out claims to HMSA.
1. Collects outstanding accounts receivable.
2. Assists the Cash Summary Department, as required.
3. Serves as a back-up switchboard operator, as required.
4. Other related duties, as assigned.
RESPONSIBILITY & AUTHORITY
1. Responsible for the proper use and maintenance of all departmental equipment such as calculator, typewriter, and telephone. Also is responsible for the correct usage of community equipment such as the teletype, Xerox machine, etc.
1. Represents Times Super Market and the Department to the general public and the Stores. Presents a good image of the Company and Department at all times.
2. Must maintain a neat and well-groomed appearance.
3. Refers all persons to the proper personnel on matters which cannot be handled by the Accounts Receivable Clerk.
JOB REQUIREMENTS
1. High School graduate with typing and 10-key adding machine background preferred.
2. Helpful courses include business machines, business math, accounting or bookkeeping, human relations and computer operation.
EFFORT
1. Concentration on accuracy, small print and numbers, close paper work, such as reading reports.
1. Eye concentration is required due to posting of accounts into the Posting Register.
2. Some strength is required to carry boxes.
3. Good listening skills when dealing with Customers, and Vendors.
WORKING CONDITIONS
1. Office work environment with modern and contemporary office furniture and fixtures. Air Conditioned.
2. Some fluctuations in the air conditioning temperature.
3. Usually involves long periods of sitting.
