Description of the Office Administrator:
While the Office Administrator is hired and under the ultimate responsibility of Ministry & Counsel, this position falls under the direct supervision of the lead pastor. The Office Administrator will receive a yearly job review and performance appraisal by the lead pastor with input from Ministry & Counsel. The desire is that a good, team-oriented working arrangement will be expressed between the Office Administrator, Elders, pastor and staff.
This is a part time position to manage all activities of the church office and perform administrative duties related to the Meeting’s operation as well as to provide administrative support to the pastor, staff, Elders and Meeting. Following are details for this position.
Qualifications of the Office Administrator:
· Be a professing Christian
· Attend church regularly and be in good standing with a local church
· Have at least two years office management experience (preferably in a church office)
· Have a servant’s heart, compassionate and attentive to needs of the pastor, staff, Elders and the Meeting
· Demonstrate a high level of trust and ever conscious of the need for confidentiality
· Be a team player, competent, efficient and creative
· Be a self-starter, good at multi-tasking and prioritizing projects
· Have strong communication, computer and organizational skills
· Must exhibit professionalism, conscientious work ethic, teachability and accountability
· Should possess the ability to work independently without supervision
· Must be proficient in the use of standard office tools (printers, copies, etc.)
· Must be efficient in MS Office, with knowledge of Windows and Apple
· Must know basic desktop publishing, bulletin, flyer and brochure design
· Willingness to attend trainings and seek out ways to constantly sharpen administrative skills
Responsibilities of the Office Administrator:
Communication:
· Participate in weekly staff meetings
· Communicate consistently with supervising pastor
· Collect, sort, and distribute all incoming mail
· Cordially answer phone calls and check voice mail then deliver messages to proper persons
· Return any phone calls necessary
· Check and respond to all emails as soon as possible
· Maintain all calendars (print and Google)
· Prepare mailings to congregation (letters, Journey Through Grief, etc.)
· Keep mail bulletin boards current with mail and Meeting information
· Advise janitorial staff when facilities will be in use during their schedule cleaning time
· Meeting website updates
· Use social media to remind public of upcoming events
· Use front yard sign to advertise and communicate with the community
Documentation:
· Prepare and generate weekly bulletins
· Collect, prepare and publish prayer request
· Prepare certificates for special occasions, special bulletins, brochures, etc.
· Prepare and copy monthly church calendar to be distributed
· Type any correspondence or other items for pastor, staff or Elders
· Schedule reservations for use of the Meeting facilities
· Maintain neat and orderly file system
· Maintain office files and Meeting documents (bulletins, calendars, etc.)
· Maintain up to date membership lists
· Maintain up to date directory information – digital (Instant Church Directory) and provide printed ones when needed
· Maintain up to date phone tree numbers (One Call Now)
Other Responsibilities:
· Ensure that office equipment is maintained in and workable condition
· Maintain adequate inventory of stationary, envelopes, stamps, paper, toner and other office supplies
· Purchase above inventories keeping in line with the budget provided.
· Provide training when necessary with office equipment (copier, iPads, etc.), and software (zoom, Instant Church Directory, etc.)
· Keep office neat and organized
· Other duties as assigned

Pay: From $15.00 per hour
