    As our Administrative Manager, you will be responsible for overseeing and managing the administrative staff within our organization. You will be working closely with all departments to ensure that all administrative tasks are completed efficiently and effectively. You will also have the opportunity to lead a small team of admins, providing guidance and support as they work to meet their goals.

    Essential Duties and Responsibilities include the following.

    Other duties may be assigned.

    • Buy, store, keep track of, and distribute supplies.
    • Request bids for equipment and supplies.
    • Schedule maintenance for any equipment or building repairs.
    • Manage conference calendar.
    • Monitor the status of all business licenses.
    • Manage and track all reasonable accommodation requests.
    • Assist in all property take-over/take-downs.
    • Assist/compile due diligence packages.
    • Manage customer service inquiry system.
    • Maintain contract files for all properties, including Insurance information, cable, office equipment, and laundry. Inform Regional Managers 60 days before expirations.
    • May receive visits or calls regarding complaints which may be resolved or referred to the proper person for resolution.
    • May do research for a project or legal matter.
    • Develop, manage, and monitor records.
    • Recommend changes to policies or procedures to improve operations, such as supply management, and improved record keeping.
    • Set goals and deadlines for the department.
    • Supervise clerical and administrative personnel.
    • You will occasionally be required to use your vehicle to run company errands. (mileage is reimbursed)
    • Maintain strict confidentiality of all Stout Management Company matters.

    Supervisory Responsibilities

    This position will supervise the Administrative Assistant and Receptionist.

    Training and Experience

    Experience in property leasing roles – preferred.

    Must have advanced knowledge of MS Word and MS Excel with three years of experience performing complex and responsible clerical duties.

    Experience managing a department is preferred.

    Certificates, Licenses, Registrations

    Must have a valid driver’s license.

    Ability to act as a Notary Public or ability to become a Notary Public.
