Position: Administrative/Project Coordinator
Reports to: Regional Manager
Summary:
Utility Traffic & Restoration, LLC (UTR) is now accepting applications for an opening for an Administrative/Project Coordinator. UTR is a union contractor specializing in traffic control and surface restoration services for utility companies and their contractors throughout the Midwest.
Primary responsibilities:
- Answer and respond to phone, email, and customer portal requests for surface restoration (concrete, asphalt, lawn) and traffic control services
- Enter incoming work requests & create internal work orders in company software for tracking and billing purposes
- Create field tickets for supervisors/field crews
- Collect, track, scan, and send field tickets to our billing department. Ensure all tickets are collected each week
- Collect, track, scan, and send credit card logs & receipts to our billing department. Ensure all logs & receipts are collected each week
- Enter all time sheets for field employee’s in the designated service area
- Front desk duties: greeting and directing visitors, getting mail, opening and/or handing packages to employee’s. Note: the office you will be working out of does not get much foot traffic
- Assist with coding incoming field tickets to ensure billing team has accurate information for billing purposes
- Various other additional administrative responsibilities. Role will be the primary support for Regional Manager, Supervisors, Foreman, and Field Crews in the designated area
- Assist in other departments as needed and any other additional duties as requested
Notes:
- Work location: on-site in Des Moines, IA
- Full-time, non-seasonal, Monday-Friday hours. Ability and willingness to work overtime in the busy season (April 1st – December 1st). Winter months will be slower but still full-time.

Qualifications:
- 1 year office experience, ideally in construction/traffic/restoration related office setting, preferred
- Post-secondary (college) education and/or degree preferred.
- Proficiency with Microsoft office programs (Outlook, Word, Excel) required.
- Proficiency with Adobe PDF preferred (combining, organizing, editing, signing, etc.)
- Proficiency with computers and technology in general.
- Willingness to always ask questions
- Strong communication skills, both oral and written, is required
- Ability to create and maintain relationships with vendors, customers, and employee’s
- Ability to coordinate several tasks at once and work under strict deadlines
- Valid driver’s license class D with clean driving record (reliable transportation)
- Must be able to pass a background check and drug testing (pre-employment and randoms)
- Must always be reliable and professional
