Air Export Coordinator jobs in Louisville, KY

This role is onsite at our Bardstown, KY location, Monday-Friday 7am to 3pm.

What the Role Is

The Import-Export Coordinator will receive and process incoming orders for export bulk shipments for the organization. Duties include informing customers of receipt, shipping dates, and delays, preparing documentation and handling complaints or concerns.

How You Will Spend Your Time?

• Prepare and complete documentation for bulk export shipments through IFS
• Communicate with freight forwarders and customers concerning bulk export shipments
• Process shop orders through IFS and BIC and balance transactions on a monthly basis
• Track and monitor incoming bulk bourbon purchases stored at outside facilities/warehouses
• Receive all entries into storage tanks through IFS
• Balance monthly storage tank inventory with dump room
• Type bill of ladings, invoices, and provide paperwork to the appropriate parties for empty barrel shipments
• Update warehouse receipts on barrels used and returned to customer
• Process bill of ladings and transfer in-bond paperwork for domestic bulk shipments
• Track and receive by transport tasks receipts from Bernheim and provide Barrel Warehouse Inventory Accountant copies of barrel receipts
• Verify bulk shipments for monthly TTB reports
• Prepare export orders for dispatch
• Process export customer shipping documentation through IFS
• Create specific export customer product documentation as required
• Release bulk import loads through customs and provide documentation to Customs Broker
• Coordinate direct shipments to U.S. and International customers from contract bottlers (U.S. and International).
• Manage IFS 10 2 Import Program
• Provide assistance to other team members as required
• Process export bulk customer orders as required
• Additional position responsibilities may be assigned based on workload.

Who You Are…

• High School Diploma or equivalent required
• Minimum 2 years of office administration or clerical experience required
• Proficient use of computers including Microsoft Word, Excel and Outlook
• Administrative and clerical experience managing through procedures and systems such as word processing, managing files and records, and other office procedures and terminology
• Excellent communication skills including: Written, Oral and Active Listening Skills. Communicating with people outside the organization, representing the organization to customers, and other external sources
• Strong customer service orientation
• Strong attention to detail and accuracy
• Knowledge of laws, legal codes, government regulations, and agency rules
• Excellent computer skills including Microsoft Word, Excel, and Outlook
• Experience using office equipment such as fax/copy machines, postage machines, DHL and FedEx shipping and courier services

Valued but not Required Skills and Experience:

• Some college coursework or post-secondary education completed
• Previous experience in distilled spirits industry
• Advanced computer skills including knowledge of IFS, or other ERP system

Physical Requirements
While performing duties of job, employee is occasionally required to stand; walk; use hands and fingers to handle, or feel objects, and use of computer; reach with hands and arms. Employee must occasionally lift and/or move up to 10 pounds.
