    PRIMARY FUNCTIONS:

    The Annual Fund Coordinator oversees the implementation and coordination of all the constituent data management for the Food Bank. Responsibilities include entering and coding gifts, updating database, researching, pulling mailing lists, mapping segmentation models, and meeting department reporting needs to ensure the right constituents receive engagement, solicitation and stewardship materials for effective relationship building.

    SPECIFIC DUTIES:

    Enter gifts and create acknowledgment – 45%

    • Enter and code daily gifts ensuring integrity.
    • Oversee preparation of personal, powerful, and effective acknowledgment letters for donors. Select appropriate gift letter and provide documentation to the appropriate team member requiring a special acknowledgment process. Follow-up with team members to ensure acknowledgment process is complete; review and prepare for mailing all acknowledgments (excluding grant acknowledgments). Monitor timeliness, adjust the process as needed. Prepare and edit thank you letters and general correspondence, as assigned.

    Donor stewardship – 30%

    • Coordinate direct mail campaign. Work with staff, vendors, agencies to develop and execute all direct solicitation marketing campaigns.
    • Support the digital campaign pages through Giveffect.
    • Create and mail Year-End Giving Statements and Pledge Payment Reminders for donors.
    • Coordinate and manage Food Bank volunteers to assist with donor outreach, correspondence, and stewardship activities. Assist with preparation and follow up for department events.
    • Partner with Chief Development officer and leadership on planning and implementation of individual donor stewardship activities as required.

    Data analytics – 25%

    • Document and maintain research findings in the database for fundraising purposes. Must be able to routinely identify information useful to fundraising staff for the purposes of cultivating prospective major gift donors. Assist with research projects as needed.
    • Establish and manage database conventions and standard operating procedures, and develop and document department processes, protocol, and technology use.
    • Monitor data quality assurance/quality control through monthly, quarterly, and annually.
    • Create groups, segmentation and appeal code structures for mailings and invitations, ensuring coding and goals are correctly recorded.
    • Maintain guest lists, gather and prepare materials and other duties as assigned for department fundraising events.
    • Assist with generating monthly, quarterly, and annual fundraising reports.
    • Other duties as assigned.

    QUALIFICATIONS,EDUCATION,EXPERIENCE:

    Associate degree and/or experience equivalent with position responsibilities as defined below.

    Minimum of 3 years’ experience in data entry and office/administrative support. Fundraising environment with experience in capital campaigns/major gifts a significant plus. Experience in food banking/non-profit industry is preferred but not required.

    ADDITIONAL REQUIREMENTS:

    • Ability to handle a high volume of work in short periods with great accuracy and attention to detail
    • Proficient use of Microsoft Word, Excel, Outlook, and PowerPoint software programs.
    • Must understand basic principles of fundraising, and the importance of entering and maintaining accurate and consistent data for gift posting, and prospect management
    • Must respect the confidential nature of fundraising and donor records/information
    • Ability to complete work in an efficient and timely manner
    • Excellent organizational skills, ability to ensure effective communication with donors in writing, and verbally.
    • Cooperative attitude, willingness to learn
    • Ability to multi-task and prioritize
    • Willingness to foster agency, department, and program-wide cooperation and teamwork with positive/constructive communication techniques duties
    • Ability to analyze and interpret data and to handle problem resolution
    • Able to maintain absolute confidentiality regarding written and verbal information
    • Demonstrate ethical business practices, in conformance with all state and federal laws and regulations.
    • Willingness to foster agency, department and program-wide cooperation and teamwork with positive/constructive communication techniques
    • Commitment to serving vulnerable populations and ending hunger in Santa Cruz County
    • Possession of a valid Drivers’ license and a driver’s record considered acceptable by agency and insurance carrier.
