    Scope of the Position: 

    The Exhibitions and Publications Project Manager will assist with the organization of exhibitions and permanent collection installations, exhibition and institutional publications and other special projects in cooperation and consultation with other departments. In collaboration with the Head of Exhibitions and Publications and the Exhibitions and Publications Project Specialist, this position will aid in the management of daily operations of the department and serve as liaison with outside institutions, contractors, Curatorial, Finance, Education, Marketing, and Development Departments. The position is integral to ensuring the seamless completion of all exhibitions, permanent collection rotations, installations, and publications projects. 



    Essential Functions: 

    • Oversee and provide project management for assigned domestic and international exhibitions, permanent collection exhibitions, gallery rotations, and other special projects, including convening and chairing meetings, following up on action items, tracking deadlines, and other project details to ensure on-time completion of projects that do not exceed budgets.
    • Develop deadlines for exhibition and permanent collection installations including checklists, floorplans, text and all in-gallery content, and graphics. Monitor progress and follow-up with stakeholders, developing alternative plans as required.
    • Oversee and provide project management for assigned publications, including exhibition catalogues, collection catalogues, brochures and other special projects, as assigned. Responsibilities include developing production schedules, convening and chairing meetings, tracking project status, image procurement and tracking, communication with external stakeholders, maintenance of on-line files ensuring accessibility and distribution of information to key stakeholders, assist in monitoring of milestones and routing of materials for internal and external review, and other project details to ensure on-time completion of projects that do not exceed budgets.
    • Assist with the preparation of budgets for publications, assigned exhibitions, and permanent collection galleries. Prepare      individual project budgets, create reports, track, and forecast exhibition and publication expenses as assigned. Process purchase orders, complete credit card expense reports, monitor costs, and reconcile accounting reports, check for accuracy and identify any discrepancies and forecast in close collaboration with the Head of Exhibitions and Publications and Director of Collections, Exhibitions and Interpretation.
    • Collaborate with the Head of Exhibitions on historical and long-term exhibition program and budget analysis and reporting.
    • Assist with the creation and review of contracts for exhibitions and publications including partner agreements, editors, indexers, photographers, contributors, artists, outside consultants, and other necessary agreements, as assigned.
    • Collaborate with internal departments to help facilitate cross-departmental communication and align exhibition and publication timeline and project needs.
    • Serve as liaison with outside institutions regarding all information, materials, and approvals necessary for projects organized by the DMA and organized by outside institutions for assigned projects.
    • Upon close of exhibitions, ensure that all final obligations are met, including final exhibition reports, lender and rights catalogue mail outs, thank you letters, archiving of author contracts, vendor contracts, and rights agreements, and similar for assigned projects.
    • Create Exhibition proposals for DMA organized touring exhibitions, as assigned.
    • In collaboration with Head of Exhibitions and Publications maintain and distribute in-house exhibitions and publications schedule to all staff and daily calendar to key stakeholders.
    • Work with all departments to maintain files on-line for each assigned exhibition and publication and archive files according to DMA guidelines. Administer related project management systems and ensure that all departments have access to information and materials.
    • Create and maintain exhibition records in TMS for assigned projects.
    • Other duties, as assigned.

    Education, Experience, and Certification:

    • B.A. degree; Art History, Museum Studies, or Studio Art preferred.
    • A minimum of five years experience in Exhibition Administration and/or Publications Administration required.
    • Experience developing and managing project budgets and deadlines.
    • A minimum of five years experience in project management.
    • Excellent computer skills with competence in Office 365, particularly Excel required.
    • Strong communication, collaboration, teamwork and presentation skills with the ability to maintain strict confidentiality.
    • Working knowledge of TMS database is desirable.
