Position Summary
William & Mary’s Department of Computer Science invites qualified applications for the part-time hourly position of Administrative Coordinator. Under the supervision of the Graduate Program Administrator, this position supports all administrative and graduate needs of the unit to include leadership and faculty support for approximately 25 full‐time, affiliated, or visiting faculty members, and 100 graduate students.
Primary responsibilities include:
- Chair, Director, and faculty support to include administrative and faculty personnel services, communications, and technological support.
- Serving as first point of contact to office visitors, students and faculty in person and by telephone and assist to answer or refer inquiries.
- Assisting with graduate program recruitment and admissions activities
- Arranging and coordinating program meetings, colloquiums, lectures, guests, and special events to include catering, logistics, and agenda.
- Providing records management for department, and maintenance of spreadsheets for departmental operations to include expenditures, travel, stipend, fixed asset inventory.
- Liaising with multiple units on campus such as the Dean of Arts & Sciences Office, Human Resources, Procurement, Student Financial Aid, and the Office of Sponsored Programs to facilitate processing of transactions.
Conditions of Employment
Occasional evening and weekend work required, i.e., during open house, home coming, graduation, lectures, special events, etc.
This is a part-time, hourly position authorized for a max of 29 hours/week and does not include employee benefits.
All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked may not exceed, on average, 29 hours per week, over the course of a twelve-month period beginning May 1 each year.
This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications
- High School graduate or equivalent
- Relevant administrative experience, generally 3 years
- Working knowledge of general office practices and procedures including best customer service practices
- Demonstrated proficiency in MS Word, Outlook, Excel, and PowerPoint
- Ability to learn and work effectively with productivity systems and applications including for procurement, fiscal reporting, and website management (e.g. Banner, Qlik, buyW&M, Chrome River, Qualtrics, Salesforce)
- Excellent organizational skills and attention to detail
Preferred Qualifications
- Bachelor’s degree or an equivalent combination of education and experience
- Experience in a higher education environment
- Working knowledge or the ability to learn website technology platforms such as Cascade, Blackboard and listservs
- Experience in creating content for web pages, social media and marketing materials
- Experience with productivity systems and applications such as Qlik, buyW&M, and Chrome River
- Knowledge of procurement and purchasing policies and procedures
- Ability to interpret, apply, and communicate organizational policies and procedures in accordance with state and federal guidelines
