    We are seeking an enthusiastic professional Administrative Associate who is passionate about cultivating the school's mission and objectives through student instruction, guidance and review in order to ensure successful development of each student. Because of our commitment to community, employment preference is given to residents who live in WV and the New River Community Technical College service area.

    This position is a Full-time position for our Raleigh County Campus and will report directly to the Campus Director. The position will work collaboratively with management, faculty and staff within the department and college to serve the best interests of the students.

    Job Summary

    The Administrative Associate supports the overall administrative function of the Raleigh County campus and a wide variety of administrative units. The position reports to the Campus Director and Community Outreach (RCC) and is responsible for a wide range of clerical, personnel, and budgetary duties related to the operations of the Institutional Advancement department.

    Nature of Work

    The Administrative Associate will be responsible for greeting guests and ensuring a pleasant experience and the best possible customer service experience. This position is responsible for supporting the achievement of the department’s goals and objectives and typically involves knowledge of and protection of confidential and business limited information. Work is performed under general direction, working from established policies and objectives. This position exercises judgment in prioritizing, planning, and organizing own work while ensuring objectives are met in a timely manner. This position has some flexibility to modify workflow based on need and circumstances. This position will address non-routine questions and situations often requiring investigation and/or research of precedents.

    Distinguishing Characteristics

    Performs other functions as required or assigned. Also complies with all Policies and Standards.

    Summary of Responsibilities:

    • Determining the needs of the stakeholders and ensuring they receive proper and accurate information and directed to the appropriate department for assistance.
    • Provides information in person, electronic communication, or by telephone, where common knowledge and interpretation of policies and procedures are necessary.
    • Coordinate campus room reservations, hospitality and room set-up for meetings and events along with tracking participation.
    • Effectively and efficiently complete general office functions such as: downloading and scanning official transcripts into a shared drive, banner data entry, copying, scanning, faxing, transcribing departmental meeting minutes, and filing documents as needed.
    • Completing travel forms and vehicle reservations.
    • Completing Purchase Requisition Forms (PRF) and placing orders once approved.
    • Receive and prioritize incoming and outgoing mail for the campus.
    • Maintaining the Raleigh County campus Admissions/Registrar copier, submitting usage reports, placing maintenance calls and ordering copier supplies.
    • Maintain effective administration of the day-to-day reception operations.
    • Schedule appointments and maintain daily calendar for supervisor and department.
    • Prepare and respond to written and electronic correspondence.
    • Assist in accreditation processes as directed.
    • Assist with commencement and other events as assigned.
    • Assist the Finance Department with administrative tasks as needed.
    • Attend meetings as required by the College.
    • Participate and attend college wide community activities.

    Professional Development

    • Compliance training is to be completed routinely and in a timely manner.
    • Participate in additional professional development opportunities through LinkedIn Learning and professional organization affiliations.

    • Excellent working knowledge of: MS Office Professional, PowerPoint, Outlook, Windows, Excel, Word, Access, email applications and the Internet, required.

    Associate Degree - Business or Related Field - Required

    Experience

    In addition to the knowledge/education, the following related work experience is typically required for this position. An equivalent combination of education and recent, related experience may be acceptable.
