Associate Dean of Education assists Dean with the management of administrative functions of the college of education. Collaborates with Dean on planning college strategic initiatives and supports on college fundraising. Being an Associate Dean of Education provides administrative leadership in areas of curriculum development, institutional assessment and improvement, human resource, faculty development and performance appraisals, budget and finance, and facilities planning and management. Typically requires an advanced degree. Additionally, Associate Dean of Education typically reports to a Dean. The Associate Dean of Education typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     Minimum Hiring Annual Salary :

    $43,320.00

    Maximum Hiring Annual Salary :

    $45,486.00

    To attain the maximum annual salary, employee must meet all minimum qualifications plus :

    5 (five) years of additional applicable work experience and / or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.

    The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

    Job Description :

    Under general supervision, this role provides wide-ranging administrative and operational support to the staff and instructors that comprise the Adult Education & ELL programs.

    Additionally, this role fulfills a vital need in being a first line of support for both future and current students enrolled in our programs

    Department Administrative Support :

    Provide administrative support to the Director of Adult Education and ELL as well as to the Program Coordinators and Advisor.

    This includes scheduling meetings, processing and assisting with standard paperwork( student applications, making appointments, collecting and saving invoices, managing phone calls, emails, and in-person visits, and documentation.

    • Assist with interpretation of policy and procedures; provide interpretations requiring extensive knowledge of College, state, and federal rules and regulations.
    • Other projects as assigned (i.e. assist with events, graduations, community outreach etc.).

    Department Operational Support :

    • Provide operational support to the Adult Education program and ELL program staff and instructors. Will order office / instructional supplies and assists with travel and professional development paperwork for staff and faculty.
    • Maintain confidentiality of records for department.
    • Maintain a clean, welcoming, and safe environment.

    Customer Service & Student Support :

    Provide high levels of customer service to students, Aims faculty, staff and community members seeking to access resources from the Adult Education and ELL program.

    Guiding students through application process. Assist in student intake during peak enrollment periods.

    Budget :

    • Decisions over day-to-day expenditures.
    • The Staff Associate will be able to independently make budget-conscious decisions regarding the purchase of office supplies, instructional supplies, and supplies for official functions, all while operating within the parameters that have been provided by the program director.

    This will include analyzing the allocated funds for each cost center and budget function, ensuring that purchases do not exceed the budget, and regularly monitoring the amount of funds utilized in each budget line.

    • Assisting with tracking, monitoring of the fiscal budget.
    • Making recommendations during the annual budget cycle.
    • Ensuring accurate billing and reconciliations.
    • Additionally, the staff associate will be responsible for using the office purchase card, and ensuring that all purchases align with both our approved vendors, and our tax exemption status.
    • All purchases made with the office card will generate weekly expense reports, for which the staff associate will be responsible for regularly completing to stay in compliance with accounting.

    Collaboration, Marketing & Outreach :

    Develop and maintain relationships with Aims staff / faculty and other community programs and stakeholders in order to help students find resources when needed.

    • Associate's Degree in related field; Plus,
    • Three (3) years of related work experience working with clients & the public in a fast-paced, professional work environment.
    • Bilingual in English and Spanish.
    • Inventory management experience.
    • Budgeting and cost control experience.
    • Ability to adopt and improve workflow and operating procedure.
    • Proficient in Microsoft Office including Word and Excel.
    • Familiarity with Google Applications.
    • Communicate effectively in person, over the phone, and in writing with a wide range of multicultural individuals and constituencies.
    • Work as a team member and foster a cooperative work environment.
    • Planning, organization skills, and attention to detail.
    • Information processing and problem solving skills.
    • Excellent communication and customer service skills.
    • Ability to learn and communicate about campus and multicultural events that occur throughout the year, and update office communication board each month.
    • Ability to professionally prioritize greeting and helping multiple students at the same time.
    • No degree and five (5) years of related work experience working with clients & the public in a fast-paced, professional work environment or an equivalent combination of education and / or work experience.
    • Bilingual in English and Spanish.
    • Inventory management experience.
    • Budgeting and cost control experience.
    • Ability to adopt and improve workflow and operating procedure.
    • Proficient in Microsoft Office including Word and Excel.
    • Familiarity with Google Applications.

    • Experience working with diverse, international populations, particularly in Adult Education and / or English Language Learning programs.
