Job Description To
provide Administrative Support to Dental Sciences Department including Idaho
Advanced Education in General Dentistry (IAGD)
Residency, Idaho Dental Education Program (IDEP) and create a successful and positive education experience to
the residents and students through this support. Key Responsibilities 1. Provides clerical and correspondence support to all current Program
Directors, faculty, residents, staff and students
2. Admissions for Residents and IDEP
3. Explains admissions criteria, policy and procedures to applicants
4. Obtains application materials for consideration of applicants for
residency and creating a shared drive with this information for department
heads to review using the PASS system
5. Arranges for interviews with resident and IDEP applicants, create a
schedule for such and put on a shared drive
6. Prepares letters of acceptance, alternate status, and non-acceptance as
directed
7. Resident and student record:
o Assure all resident and IDEP files are
maintained within legal parameters and accreditation standards
o Create a notebook with current resident
licenses to be at the front desk
o Track performance measures of residents for
outcome assessments
o Dispense and collect monthly staff/resident
evaluations
o Dispense and collect Resident evaluation of
faculty quarterly
o Dispense and collect Resident evaluation of DL
for each Monday
o Register residents and IDEP students for
classes
o Create and coordinate orientation schedule and
events
o Schedule photos for residents during
orientation week and follow through by disseminating the pictures to faculty
and other usual recipients
o Frame and hang photos on the wall
8. Payroll and personnel files
9. Purchasing/ordering/reconciling
10. Create monthly zoom faculty meeting
o Prepare agenda/Take minutes/Type minutes and
email to faculty
11. Distance Learning o Coordinate and schedule Distance Learning for
residents
12. Schedules vendors for lunch and learns
13. Educates the residents on how to order implants
14. Orders all implants
15. Scans all implant orders in an electronic file to help keep track of
resident counts
16. Obtains requisition for and orders computers/equipment
17. Oversees any new equipment installations
18. Backup Front Desk/Reception
19. Review Daily day sheets for clinic production
20. Complete and maintain Master Schedule
21. Proctor Sedation Exam
22. Coordinate and schedule hospital rotations
Minimum Qualifications o Bachelor’s Degree (In Lieu of Bachelor’s Degree a minimum of six years
combined, education, training and experience may be considered.) o Experience in dental office setting
o Monitoring record systems to identify and correct errors
o Interpreting, explaining, and applying laws, regulations, and complex
policies
o Analyzing information and researching a variety of sources to identify and
resolve problems or issues
o Dealing with individuals from varying cultural and socio-economic
backgrounds in stressful situations
o Entering and retrieving data using a computerized record system
o Composing and proofreading business
correspondence
