WHO YOU ARE?
The Banquet Manager is responsible for managing and coordinating all aspects of banquet events within the hotel. This includes planning, organizing, and executing events such as weddings, conferences, corporate meetings, and special events, while ensuring excellent customer service, quality, and profitability. The role requires effective leadership, attention to detail, and excellent communication skills.
WHAT YOU WILL DO
Event Coordination:
- Oversee the planning and coordination of all banquet events, including setting up rooms, overseeing meal service, and ensuring that all logistics are handled efficiently.
- Meet with clients to understand their requirements and ensure the event is executed to their satisfaction.
- Work with the sales and catering team to ensure that event contracts and details are followed.
- Prepare and distribute event orders, banquet event sheets, and other related documents to the appropriate departments (kitchen, front desk, and housekeeping).
Staff Management:
- Hire, train, and supervise banquet staff, including servers, bartenders, and kitchen personnel.
- Organize and schedule staff shifts based on event requirements.
- Ensure staff adheres to hotel policies and standards for performance, cleanliness, and guest service.
- Provide motivation, support, and guidance to staff to ensure smooth operations.
Customer Service:
- Act as the main point of contact for guests during the event to address any concerns or requests.
- Ensure all guest needs are met and exceed expectations regarding service, quality, and ambiance.
- Handle complaints or issues swiftly and professionally, ensuring a positive experience.
Financial Management:
- Monitor and control the banquet budget, ensuring cost-effectiveness and profitability while maintaining high standards.
- Work with the catering department to track inventory, supplies, and food/beverage costs.
- Ensure the timely and accurate billing of all event-related charges.
Event Setup and Operations:
- Oversee the setup of banquet rooms and event spaces, ensuring they are prepared according to specifications, including table settings, decorations, and audio-visual equipment.
- Supervise the execution of the event timeline, including meal service, entertainment, and clean-up.
Vendor and Supplier Coordination:
- Manage relationships with external vendors and suppliers, including florists, DJs, and photographers, ensuring services are provided as contracted.
- Ensure the availability of all necessary materials, such as linens, decorations, and equipment.
Quality Control:
- Maintain high standards of food and beverage presentation and service.
- Regularly inspect banquet spaces, kitchens, and event setups to ensure cleanliness, orderliness, and adherence to health and safety regulations.
Reporting and Administration:
- Maintain detailed records of all events, including contracts, client communications, and any changes.
- Prepare reports on event feedback, performance metrics, and financial outcomes for hotel management.
WHAT YOU WILL NEED
- Strong leadership and team management abilities.
- Excellent communication and interpersonal skills.
- Ability to handle high-pressure situations and multiple tasks at once.
- Proficiency in event planning, budget management, and customer service.
- Knowledge of food and beverage services, including event catering.
- Familiarity with banquet software and tools.
- Experience: At least 3-5 years of experience in hotel banquet management or a similar role in the hospitality industry.
- Certifications: Food Safety Certification, First Aid, or any hospitality-related certifications are a plus.
Work Environment:
- Must be available to work flexible hours, including nights, weekends, and holidays, to meet the needs of the events.
- The position may involve working in fast-paced, high-energy environments and require extended periods of standing or walking.
