Office Coordinator - Duluth, Minnesota
Position Overview
Oversee general office operations and procedures and provide support to colleagues in the office and the field.
Responsibilities
- Courteously and promptly determines the nature of a caller’s business and directs callers and visitors to the appropriate person, or takes messages (including pertinent information) for the person called.
- Ensures the building and facilities are clean and safe for colleagues and visitors.
- Handle incoming and outgoing mail and packages.
- Monitors inventory and the purchasing of necessary supplies including but not limited to office supplies, copy paper, and kitchen supplies for the MN locations.
- Assists the Service Manager with various tasks including, work orders, field service calendar, customer purchase orders, creating work orders, and work order folders.
- Scan Accounts Payable invoices, and track MSHA hours and OSHA Inspections.
- Maintains petty cash, and internal mail delivery.
- Follows all company policies and procedures.
- Maintains appropriate confidentiality of information processed.
- Provides answers to routine inquiries and other information as appropriate.
- Close all customer and warranty work orders after they have been processed.
- Other duties assigned by the manager
Education/Experience
- High school diploma or equivalent; certification in office administration is a plus.
- Excellent communication and interpersonal skills.
- Ability to work independently, multi-task, and prioritize.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle confidential information with discretion.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Familiarity with basic accounting principles.
- Ability to work with a wide range of personalities in a courteous, effective, and efficient manner.
