 The responsibilities of the Central Supply Coordinator & Nursing Administration Assistant include:

1. Maintaining proper amount of nursing supplies on each unit based on needs of the residents on the unit. Adjusting par levels accordingly.
2. Procuring purchase orders for supply orders through outside vendors.
3. Placing and receiving orders of supplies.
4. Navigating and maintaining inventory system timely and accurately.
5. Completing end of year inventory, compiling any reports as requested by Director of Nursing and/ or CFO.
6. Reviewing and processing invoices for payment of supplies received in a timely manner.
7. Ensuring accuracy of charges incurred.
8. Communicate with outside vendors and set meetings as necessary to review facility's needs.
9. Reviewing weekly wound notes for supply order needs. Keep wound cart stocked.
10. Maintaining inventory of crash carts on the nursing units. Replacing expired supplies and/ or equipment and as needed.
11. Assist with ensuring facility equipment is kept in good working order. Assist with facilitating preventative maintenance of equipment, yearly and as needed. (lifts, vital sign machines, scales, etc.)
12. Routinely audit and ensure AED machines are maintained for use at any time during an emergency.
13. Answering incoming calls to the Nursing Administration Office and forwarding calls or taking messages as appropriate. Making calls on behalf of Nursing Administration as requested.
14. Receiving and dispensing mail, reports, faxes etc as directed. All mail and documentation should remain confidential.
15. Making copies, filing documents, other clerical tasks as requested by Nursing Administraiton.
16. Assist with resident care as needed or directed by Nursing Administration.
17. Shall fully comply with all aspects of Hooverwood's Corporate Compliance program and its Code of Conduct.
18. Performs other tasks as assigned by the Director of Nursing or the Administrator.

Requirements

Qualifications

• Must have a high school diploma

• Maintain an active CNA or QMA certification

• Previous experience working in long-term care

• Excellent organizational skills and attention to detail

• Excellent communication skills

• Office Suite experience preferred

Physical or Mental Functions Required to Perform Job: 

The Central Supply Coordinator / Nursing Administration Assistant (1) must function effectively under timelines and multiple demands; (2) must be able to fully and effectively communicate orally and have the ability to write or type; (3) must be able to read normal print/ script and computer generated type; (4) must have the ability to hear effectively; (5) must have full use of at least one arm and hand; (6) must be ambulatory.

Employee recognizes that the Central Supply Coordinator / Nursing Administration Assistant is considered a HIGH RISK - CATEGORY 1 for exposure to blood borne pathogens and is provided the opportunity to receive a 3 shot HBV immunizations series if he/ she may wish, immediately upon receipt of the job description.
