Supply/Fleet Manager

  • 1. Manages the College's Shipping and Receiving Department, to include all campus locations. Supervises and coordinates all aspects of the sorting and processing of the College's incoming and outbound inter-campus and USPS mail services. Plans yearly Shipping/Receiving and Mail Department's O & M budget and submits to supervisor for review. Reviews monthly transactional report. Writes PO's and maintains account balances for these departments. Using daily reports, gathers information, compiles and submits monthly expense allocation reports (bulk, Business Reply, courier, UPS and postage meter) as needed to the Business Office. Purchases all college replacement and new vehicles through applicable SC State Contract and procurement procedures.

    2. Responsible for scheduling the movement of mail including USPS correspondence and inter-office mail. Oversees the collection of mail from US Post Office each morning as needed. Manages the scheduled sorting, delivery and daily mail activities for the college. Ensures correct postage is applied through the use of the college postage meter machine. Coordinates outgoing mail drop off to the USPS as needed. Ensures that the postage machine is in working order. Maintains a schedule for preventive and corrective maintenance; adds ink, fluids, and tape as needed; analyze any problems and makes minor repairs to machine as needed. Coordinates the scheduling for outside repairs when necessary.

    3. Manages College's fleet vehicles. Maintains a Preventative and Corrective maintenance program to ensure vehicles are inspected periodically, remain clean, in good repair and road worthy. Maintains a complete file which includes maintenance schedule, repair and operating costs for the college fleet. Prepares and manages the college vehicle depreciation and replacement schedule, including budgeting requests for replacement funding. Responsible for monitoring overall fleet utilization and participates in decisions regarding the size and number of vehicles in the college fleet.

    4. Responsible for all incoming and outbound shipments, oversees inspecting, logging, and coordinating a schedule for pickup or delivery.

    5. Manages the college Property and Casualty Insurance program to include maintenance and renewal of all college risk insurance policies which includes but is not limited to Building and Personal Property, Auto Liability, General Liability, Data Processing, Equipment (Inland Marine), and Student Accident coverage. Coordinates all damage claims and acts as liaison between the college and the insurance provider for all claims resolution. Prepares all renewals and ensures that all policy information and limits are up to date, and adequate coverage is in place to protect the college. Prepares annual budget for all policy costs.

     6. Responsible for maintaining and updating receiving files. Generates Purchase Order report, manually matches PO numbers with incoming shipment delivery paperwork. As needed completes release of completed POs for payment.

    7. Responsible for supervision and management/control of college inventory and assets.

    8. Preforms other duties as assigned. High school diploma and work experience directly related to the area of employment to include supervisory work experience.   Bachelor's degree in a related field, plus a minimum of 2 years work experience as a supervisor in a large supply services or property control operation.
