TThe Admin Check-in Assistant to the Front Desk takes a well-orchestrated coordination of appointments, phone calls, and office duties. They greet the patients as they arrive and assure that the clinical staff is aware the patient has arrived. The Admin helps keep the Practice on track by handling a variety of tasks and maintaining good customer relations. Work days are Monday-Thursday.

Essential Functions

• Greet patients when they first enter the office and notifies the clinical staff that the patient has arrived
• Obtain any updated demographic information and inputs it into the dental system
• Obtain a copy of patient insurance card/information and distribute the information to the Insurance Coordinator to verify and input coverage in the dental system
• Answer all phone calls with a smile
• Help patients with any questions they may have regarding clinic procedures or clinic activities, and direct them to relevant persons for more clarifications
• Inform patients of the various dental services offered by the clinic
• Ensure that patients stick to scheduled appointments to avoid overlapping
• Get appointments for clients from doctors and inform both parties about cancelled appointments
• Register new patients and help guide patients in filling medical forms and collect necessary documents
• Confirm appointments, contact no show appointments, and maintain appointment waitlist
• Ensures the foyer, lobby and office area is clean and stocked
• Ensure all appropriate actions are taken to comply with HIPAA regulations regarding patient confidentiality
• Other duties as assigned by a Doctor or Site Manager
