Clerical Supervisor coordinates all clerical functions for various departments to improve efficiency and effectiveness of assigned operations. Oversees numerous office functions, including but not limited to clerical work, word processing, data maintenance, report filing, and telecommunications response. Being a Clerical Supervisor ensures compliance with established corporate standards. May require a bachelor's degree. Additionally, Clerical Supervisor typically reports to a manager or head of a unit/department. Working team member that may validate or coordinate the work of others on a support team. Suggests improvements to process, is a knowledge resource for other team members. Has no authority for staff actions. Generally has a minimum of 2 years experience as an individual contributor. RESPONSIBILITIES/ACCOUNTABILITIES:
1. Provides secretarial support to the nursing staff as needed;
2. Delivers new admission chart to unit and initiates forms in preparation for admission;
3. Faxes physicians' orders daily;
4. Delivers any faxed printouts to the appropriate department;
5. Completes daily transfer of the vital signs and weights from the daily assignment sheet to the customer's chart;
6. Schedules appointments with physicians for the customers; relays the information to nursing;
7. Prepares discharge charts for medical records;
8. Performs chart audit and report any deficiencies to the Unit Director;
9. Maintains medical records per policy;
10. Schedules professional agency personnel as directed and supervised by the D.O.N.;
11. Keeps unit supplied with necessary forms;
12. Orders and charges accordingly, any necessary customer care supplies (i.e., tube feedings, isolation supplies);
13. Orders miscellaneous unit stock;
14. Completes daily staffing sheets, places in staffing book, and copies these sheets for Unit Director;
15. Assists in maintaining staffing needs on unit and making calls to fill staffing needs;
16. Refers requests for all information on customers or center to unit director or nurse coordinator;
17. Greets and assists visitors entering unit;
18. Answers telephones, directs call and takes messages;
19. Performs other duties as assigned.

SPECIFIC EDUCATIONAL/VOCATIONAL REQUIREMENTS:1. This position requires a high school degree with college/ business school coursework.2. Experience with medical terminology and transcription is preferred.3. Must be able to read, write and understand the English language.
