The College College Registrar is responsible for class registration, assigning classroom space, and updating student records. Oversees university/college's system of student records. Being a College College Registrar determines students who have achieved certain scholastic goals, such as the Dean's List. Ensures that all requirements have been met prior to graduation and that diplomas are factually correct. In addition, College College Registrar requires a bachelor's degree. Typically reports to a manager or head of a unit/department. Being a College College Registrar contributes to moderately complex aspects of a project.     JOB SUMMARY

    In this position, you will ensure a positive environment exists whereby patient flow can be maintained.  This includes performing a wide variety of customer service duties including greeting and assisting the general public, answering telephone inquiries, providing information to the public, make appointments, check patients in for appointments, cashiering and processing payments and constant communication with the health care team to assure adequate patient flow.

     

    In addition, the registrar functions as the primary contact for outgoing referrals from the providers of republic medical clinic and outside of Ferry County Health District. This individual will provide a centralized source for information regarding the referral process, receiving and tracking referrals, and referral sources. This position will float between the Hospital, Clinic and Rehab departments as needed.

     

    ESSENTIAL DUTIES AND RESPONSIBILITES

    • Serves as receptionist, answers and directs incoming telephone calls, screens inquiries, takes messages, and provides information in a timely, courteous and professional manner.
    • Greets customers and visitors at the front desk; directs visitors, takes payments and answers simple billing questions.
    • Performs cashier duties such as accepting patient payments, balances cash drawer and prepares deposits.
    • Responds to general customer and public inquiries about District policies and procedures and refers messages, information and various types of calls to the appropriate person.
    • Prepare medical charts and records for referral visit. Track and provide Specialists’ offices with medical records including test/imaging results, chart notes, and/or reports prior to appointments.
    • Verify insurance eligibility and benefits.
    • Obtain authorizations when necessary for physical and occupational therapy patient referrals.
    • Inform the referring provider if authorization request is denied or therapy department does not handle specific conditions.
    • Maintain records of all referrals.
    • File final copy of authorized referral in patient’s file (EMR), for provider review.
    • Responds to and resolves customer account questions, problems and complaints.
    • Sorts and routes incoming mail and packages; prepares outgoing mail with postage.
    • Operates phone intercom system directing hospital staff to situations, calls, and emergencies.
    • Issues, receives, types and processes various types of applications and forms.
    • Handles sensitive information and situations in a manner to enhance the District’s image in the community.
    • Reviews, routes and responds to daily messages from the answering service.
    • Assists in ordering and maintaining office supplies.
    • Assists in duplicating and assembling documents for mail and distribution.
    • Assists with the processing of various correspondence and notifications.
    • Performs filing and record-keeping.
    • Assists with administrative support for various departments.
    • Perform related duties as assigned by management.


    PROFESSIONAL REQUIREMENTS

    • Completes all mandatory education within given timeframe.
    • Maintains regulatory requirements.
    • Reports to work on time and as scheduled.
    • Wears identification while on duty; uses computerized punch time system correctly.
    • Represents the organization in a positive and professional manner in the community.
    • Attends annual review and department in-services as scheduled.
    • Attends at least 75% of staff meetings; reviews all monthly staff meeting minutes.
    • Actively participates in the department’s quality improvement (QI) activities.
    • Complies with all organizational policies regarding ethical business practices and the employee handbook.
    • Communicates the mission, vision and values of the organization as well as the focus of the department.
    • Meets dress code standards for the department; appearance is neat and clean.
    • All Ferry County Health employees are required to maintain confidentiality in accordance with organizational policy, state and federal regulations, including not but limited to, the Health Insurance Portability and Accountability Act (HIPAA).

     

     

    JOB KNOWLEDGE & QUALIFICATIONS

     

    Education and/or Work Experience Requirements


    • High School Diploma or equivalent is required.
    • Office training in a medical office preferred.

     

     

    OTHER SKILLS & ABILITIES

     

    Language Skills

     

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, patients, customers, and the general public.

     

    Mathematical Skills


    Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical solutions.

     

    Reasoning Ability


    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
