Early College Registration Specialist

  • Reporting directly to the Early College Senior Coordinator, the Early College Registration Specialist will play a key role in supporting the Early College Office. The Registration Specialist is expected to exhibit a positive and approachable attitude, cultivating a welcoming atmosphere for both students and the team, as well possessing the technical expertise required to fulfill the detailed responsibilities of the role effectively. This position requires a professional, organized, dependable, flexible, and friendly team member providing thorough, accurate, and timely support through, managing student records, data entry pertaining to dual credit admissions applications, assisting with program logistics, communicating with students, parents, and faculty, and providing general office support.


    A defining characteristic of this role is the commitment to delivering detailed, outstanding, and prompt support within a dynamic and fast-paced environment. To excel in this position, the specialist must exhibit a positive outgoing attitude, strong communication, interpersonal, technology, and computer software skills are essential. The Early College Registration Specialist will play a pivotal role in providing and supporting student development of their Sense of Belonging at the College of Southern Idaho.


    Responsibilities:


    • Assist Early College with student data in Dual Enroll and Anthology Student.
    • Communicate effectively with IT support at CSI and Dual Enroll to ensure they can resolve any system issues impacting student applications and registration.
    • Submit DualEnroll helpdesk tickets.
    • Maintain accurate student records and documentation related to dual credit applications and registrations.
    • Communicate with students, parents, high school partners, and faculty regarding program requirements and deadlines.
    • Assist with scheduling, registration, and logistics for dual credit courses and events.
    • Provide general front office support, including answering phones, responding to emails, and maintaining office supplies for the Early College Team.
    • Assist in the preparation of reports, presentations, and other program-related materials.
    • Provide remote support to regions 1, 2, 3 as needed. Additionally, provide remote support to Sr. Coordinator in regions 5 and 6.
    • Provide support to the Early College Coordinator’s in high school locations over the phone and through email.
    • Maintain accurate contact records as requested by the Early College Director for emails to Superintendents, Principals, Counselors and Faculty in high school locations.
    • Enter Student Check-In Data.
    • Assist as needed with collecting missing grades.
    • Support Early College Director with administrative assistance on enrollment appeals.
    • Provide support at CSI Early College events, including registration events at high school locations as well as Instant Enrollment events.
    • Build and maintain an accurate procedural manual for dual enroll procedures at CSI.
    • Follow all FERPA regulations in communicating with students and parents.
    • This is a new position that will evolve with expanded duties as we identify them through the transition to the new student information system. The work will include any processes related to DualEnroll admissions processes, registration, Anthology Student, and dual credit front office support.
    • Other duties as assigned.

    Qualifications:


    • Associate degree required.
    • Previous administrative experience in an educational setting is a plus.
    • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
    • Excellent organizational and time management skills
    • Strong communication skills, both written and verbal
    • Ability to work independently and as part of a team.
    • Attention to detail and accuracy in record-keeping and data entry.
    • Knowledge of Early College programs and Advanced Opportunities Funding is desirable.

    Work Schedule and Conditions:


    • Weekend and evening work are required during certain periods of the year.
    • Comfortable working in an open office environment.
