Construction Site Coordinator

  • Seiberlich Trane Energy Services is looking for a talented and effective multi-tasker to join their successful Energy Services Team. The successful candidate will prepare and organize thorough, consistent and professional project documentation in support of multiple projects and Project/Program Managers. This individual will provide administrative support for large controls, turnkey or complex solutions under the direction of a Project Manager. They will work directly with an innovative project team to assist with project deliverables and other required documentation. This position spends approximately 25% of time in the field at the jobsite(s).

    This career opportunity includes a competitive salary range of $45k to $65k with a comprehensive benefits package and profit sharing program.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other functions may be assigned.

    • As part of a project team and under the guidance of the Project Manager, prepare, distribute, organize and/or file the following document types:

      • Material and Equipment Purchase Orders
      • Trane Contracting Documents
      • Financing Documents
      • Invoice Processing – Seiberlich Trane and Subcontractor
      • Change Orders
      • Requests for Information (RFI)
      • Drawings/Specifications/Design Documents
      • Meeting Minutes
      • Agendas
      • Transmittals
      • Substantial Completion/Warranty Letters
      • Closeout Documentation
      • Grant & Rebate Applications
      • Subcontractor Qualification Documents
      • Schedules
      • Labor Tracking
      • Subcontractor Orientation
      • Safety Management Documents
      • Quality Reports
      • Certificates of Insurance
      • Installation and Operations Manuals
      • Equipment Startup Reports
      • Punchlists
    • Assists Project Managers on project deliverables and required documentation to ensure timely completion of project activities.
    • Assists Project Managers with expediting and following up on contractor/design professional commitments.
    • Attends and participates in all appropriate meetings including pre-construction, project updates, progress standings, safety, presentations, etc.
    • Assists Project Managers with performing on-site punchlist walk through, preparing the punchlist document, issuing and following up with the appropriate subcontractors and suppliers.
    • Establishes a professional and proactive relationship with the Project Managers and external customers.
    • Communicates proactively and professionally with customers and their representatives, contractors, subcontractors, engineers, inspectors and all other project personnel.
    • Complies with internal contracting processes.

    Scheduling

    • Support the Project Managers in scheduling of subcontractor construction site project work and activities
    • Schedule and coordinate with Service on Equipment startup and warranty requests and visits.
    • Schedules team meetings.
    • Schedule and order project materials as determined by the Project Managers.

    Safety

    • Participates in safety audits and preparing and tracking safety documents as needed.
    • Report any incidents to contract and project managers and assists in performing and completing investigation and reports with recommendations.

    Documentation

    • Records and publishes project and progress meeting minutes. Prepares project meeting agendas, project meeting minutes, AIA contracts, AIA change orders, purchase orders, budget requests, transmittals, letters, project proposals, etc.
    • Maintain organized and secured project files for appropriate plans, drawings, records, reports, documents and manuals.
    • Updates/tracks construction spreadsheets, contract/change order logs, submittal/shop drawing logs, insurance logs, budgets, etc.
    • Monitors, tracks and records daily work effort of all assigned project personnel including subcontractors to ensure compliance with project schedule
    • Procures project close-out documentation, warranties, operation and maintenance drawings and as-built drawings. Collects and assembles information into close-out manuals and disseminates to project owners and customer.
    • Creates and submits daily reports (manpower, AHA s, work, etc.)

    QUALIFICATIONS

    EDUCATION AND EXPERIENCE

    • Associate's degree or equivalent from two-year College or technical school in engineering or construction management and 2 years related experience; or equivalent combination of education and experience.
    • Experience in Construction Management, General Contracting, Trade Contracting or EPC industry.
    • General knowledge of the building construction industry
    • Knowledge of construction industry standard terms and practices
    • General HVAC knowledge (systems, equipment, installation, service)
    • Working knowledge of Microsoft Office products
    • Prefer experience and knowledge in using Project Management tools including Microsoft Project
    • Desirable – Experience in ESCO/performance contracting, energy projects, or guaranteed savings agreements

    • Typical construction job sites which includes outdoor work and work in mechanical/equipment rooms. During the job site visits, the associates is occasionally exposed to wet and/or humid conditions; moving mechanical parts; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; extreme cold; extreme heat; risk of electrical shock; and vibration. The noise level in the work environment is usually moderate.
