  • The Position

    Incumbent works under the direction of the Clerk of the District Court or designee entering court documents into the case management system and providing customer service to those accessing legal records within established policies and procedures.

    Essential Functions

    • Process court documents (e.g. legal filings, finding, decrees, judgements, case progressions, dismissals) and enter actions into the case management systems.
    • Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies, and the public.
    • Maintain a positive public image of government in interactions with the public.
    • Comply with Civil Service rules, collective bargaining agreements, County policies, department policies and laws.
    • Examine documents (e.g. names, orders, case numbers) and determine what processing is required and code based on legal action.
    • Ensure case numbers correspond to image scanned into document system contacting originator for clarification or correction.
    • Locate and retrieve court records, documents, and docket pages consulting with supervisor regarding questionable requests.
    • Log all documents and files checked out.
    • Pull and prepare court files for next day's hearings.
    • Receive legal pleadings, orders, motions, and other legal filings from Juvenile Court cases.
    • Prepare writs (e.g. summons, subpoenas, capias and other legal documents), record in the delivery book and prepare for pickup.
    • Prepare transcripts for the Court of Appeals or Supreme Court and prepare certified and authenticated copies of Court Orders.
    • Answer phones and assist customers providing information about cases and proceedings and referring questions/inquiries outside scope of expertise to supervisors.
    • Review e-filed documents and accept or reject with direction to the filer.
    • Assist customers accessing the public access computer system.
    • Provide constructive suggestions for procedure and process improvements.
    • Sort, prepare, scan and archive documents reviewing scanned images and rescanning documents of poor quality.
    • Assist in the courtroom generating orders and other documents facilitating efficient court actions.
    • Report to assigned location with regular, predictable attendance.
    • Perform other duties as assigned and/or directed.

    Education and Work Experience and Other Requirements

    • High school diploma or equivalent required.
    • Two (2) years of clerical experience required.*
    • One (1) year experience using MSOffice required.
    • Experience/training in legal terminology and the court system preferred.
    • Completion of a pre-employment criminal records check and post-offer drug screen required.
      • Equivalent combination of education and work experience may be substituted for the requirements on a year-for-year basis.

    • Work performed indoors in an office setting during standard day-shift hours; however, schedule may vary (e.g. weekend, overtime, emergency call-in). Noise level is usually moderate. Work may be stressful when dealing with changing/competing priorities, limited resources, and uncooperative/irate individuals.
    • Work requires some physical activity, including extended periods of sitting, standing, frequent walking, and occasional balancing, kneeling, bending, reaching, and climbing. Work also requires the ability to occasionally lift and carry objects up to 25 pounds.
    • Required sensory abilities include vision, hearing and touch. Visual abilities, correctable to normal ranges, include close, distance and color vision, depth perception, and the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges. Incumbents must possess the hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
