Position Summary:
Under indirect supervision of the Chief Deputy, performs a variety of clerical work of moderate difficulty for the Clerk of the Superior Court’s office. Work assignments are in multiple case-type areas.
Essential Job Functions:
- Works at the public counter, in the office environment, or other locations as assigned;
- Works with varying combinations of public contact, case creation and maintenance, data entry, issuing and accepting documents and forms, docketing and scanning pleadings, accepting and receipting monies and performing specific assignments.
Duties and Responsibilities:
- Accepts paperwork for new and existing case files;
- Enters data into the courts case management system;
- Assists in the collection, processing, and recording all monies received through the court and a variety of related routine accounting tasks;
- Accepts and receipts monies paid;
- Copies files and records for internal and external use;
- Creates and maintains both paper and electronic case files and folders;
- Accepts and verifies records and documents, checking or clerical and mathematical accuracy and completeness and processes for further action;
- Distribution of court orders and other court documents.
- Runs daily errands to bank, post office and other county departments.
- Responds to inquiries at the counter, by telephone and in writing to provide requested information; conducts and performs research and coordination necessary to formulate an accurate response;
- Creates work sheets on computer or in a manual system;
- Prepare periodic reports with recommendations or simple analyses regarding account status;
- Assists with the flow of court/case related information from judges and staff to local, state and Federal agencies.
- Performs related work relative to juror questionnaires, summonses, appearances, and payments; assists with the rescheduling, excuse or deferral of jurors.
Minimum Job Requirements:
- Any acceptable combination of education and experience equivalent to graduation from high school and useful clerical/office experience related to the assigned area OR an equivalent combination of experience, education and training which provides the desired knowledge, skills and abilities.
- This classification requires the applicant to pass extensive criminal background and normal reference checks.
Required Knowledge, Skill & Ability:
- Applicable State of Arizona statutes, rules, administrative orders, policies and procedures, Federal rules and requirements.
- La Paz County policies and procedures.
- Legal terminology and court process and procedures.
- Work under pressure in a dynamic environment with changing program demands and priorities.
- Establish and maintain cooperative working relationships with court employees, and the public.
- Basic principles and practices of record keeping, bookkeeping, case flow management, jury management, automation, and office operations.
- Communicate effectively and produce materials for internal use and public dissemination.
- Interpersonal skills that supports working with a diverse group of individuals that include judges, court staff, litigants, attorneys and the general public.
- Business English, spelling and arithmetic.
- Modern office practices, procedures and equipment, such as a personal computer utilizing a variety of software applications.
