    POSITION STATUS: FT (12-Month)

    POSITION REPORTS TO: Associate Vice President for Enrollment Management

    JOB SUMMARY:

    Under the direction of the Associate VP for Enrollment Management, the Director of Enrollment Systems and CRM Specialist will supervise the USF Office of Admissions CRM Recruit, Colleague, and other enrollment systems. Plan, update, and monitor all CRM Recruit and systems activities and ensure all Enrollment Management staff are updated and trained on information related to the systems.

    Major Responsibilities/Activities

    • Manages reporting and oversees procedures for updates and changes within CRM Recruit, Colleague, and other enrollment systems.
    • Builds and manages a good rapport with all staff within Enrollment Management.
    • Hires, supervises, and evaluates Admissions operations staff to ensure quality service is provided, and delegates responsibilities appropriately.
    • Communicates both verbally and in writing with various university constituents including administrators, faculty, students, other staff, and individuals within the university community.
    • Manages the import of suspects, prospects, applications and direct admit applicants through sources such as Common Application, WebAdmit and other contracted organizations.
    • Maintains USF Undergraduate and Graduate applications.
    • Oversees the implementation and deactivation of academic programs.
    • Collaborates with university constituents with CRM Recruit knowledge sharing and issues, and other systems as needed.
    • Oversees the administration of the university letters that are maintained and generated within CRM Recruit. This includes updating and maintaining the Criteria Set Manager in CRM Recruit.
    • Partners with the USF Ellucian IT department on projects that affect the Office of Admissions.
    • Manages the data point connections and relationship between CRM Recruit and Colleague including errors, updates, communication, etc.
    • Keeps updated on the upgrades that affect CRM Recruit and admission data points in Colleague while working to make the Office of Admissions more efficient in their processes.
    • Performs other duties as assigned.

    MINIMUM QUALIFICATIONS

    Education

    • Bachelor’s degree in computer science, information technology, business administration, or other related field required; Master’s degree preferred.

    Experience

    • 2-3 years of experience, typically earned through entry-level IT positions and advancing into more complex roles with leadership opportunities.
    • Experience with Ellucian Colleague and higher education CRM systems preferred.
    • Supervisor experience preferred.
    • Expert knowledge of IT best practices, policies, and regulations
    • In-depth understanding of programming, computer science and digital security
    • A clear understanding of client/server technology and network architecture
    • Good communication, including writing, speaking and active listening.
    • Strong problem-solving, critical thinking and decision-making skills
    • Customer service and interpersonal skills
    • Excellent attention to detail
    • Great project management skills, including organization, planning, time management and prioritization.
