    Job Description
    The University of Nevada, Reno is recruiting for an Administrative Assistant 4 with the College of Agriculture, Biotechnology and Natural Resources (CABNR). To provide administrative support to the Associate Deans for academic affairs and research. This includes accurately maintaining and monitoring calendars bot the Assoc. Deans, scheduling meetings/appointments, communicating detailed and complex information to various types and levels of individuals/groups, draft correspondence, and special projects.
    Administrative support for the Associate Dean for Academic Affairs & Associate Dean for Research/NAES Director • Accurately maintain Assoc. Dean’s calendars, full scheduling support; schedule meetings and appointments as requested. • Accurately communicate detailed and complex information on behalf of the Assoc. Deans to various parties and resolve problems that may arise. • Draft correspondence and documents on behalf of the Assoc. Deans and prepare for signatures; prepare and/or proofread correspondence for distribution. • Relay department information on behalf of the Assoc. Deans; collect and organize documents received from others and initiate responses if needed. • Use independent judgement; make all domestic and foreign travel arrangements for the Assoc. Deans by following all University travel policies. Responsible for the preparation and processing of all travel related documents, including spend authorizations and expense reports for the Assoc. Deans. • Troubleshoot and resolve problems not requiring the Assoc. Deans attention; research, compile, and organize documents, data, reports, and correspondence in support of the Assoc. Deans project/initiatives (ex: Nevada Fit, Scholarships Capacity Funds proposal process) and provide administrative support for specific projects relating to academics or the experiment station. • Conduct special projects and research on behalf of Executive staff. Assist with front desk coverage and duties as needed.
    Fiscal Support
    • Coordinate fiscal, budgets and accounting for Deans
    • Conduct research for budgets
    • Prepare reports that may include narrative of context (i.e. NAES, Desert Farming Initiative)
    • Prepare and distribute State of Nevada quarterly Water Report; maintain database spreadsheets for water report; and use NetDMR online reporting system to submit the report.
    Event Coordinator
    • Independently coordinate annual CABNR Field Day.
    • Collaborate with team on largest events such as CABNR annual spring awards ceremony, and Nevada FIT as needed.
    • Select, coordinate and implement all logistics for college events.
    • Prepare printed materials, send invitations and collate responses.
    • Coordinate other special projects/events as needed.
    HR Support
    • Input NAES and DFI student workers and faculty employee hires, terminations, and contract information in Workday as needed and track the progress of contracts to make sure they are entered and completed in a timely manner. May include assisting HR Manager with Workday transactions for NAES and DFI personnel as needed.
    • Serve as search coordinator for all searches related to NAES and DFI.
    • Serve as backup supervisor for student workers as needed in CABNR.

    Incumbents possess a degree of knowledge and proficiency sufficient to perform advanced-level work and may provide work direction and training to others.
    Required Qualifications
    • This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR
    • One (1) year of experience as an Administrative Assistant III in Nevada State service; OR
    • An equivalent combination of education and experience as described above
    A valid Class “C” driver’s license or higher operator’s license is required at the time of appointment and as a condition of continuing employment.
    Schedule
    The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.
    Compensation Grade
    Grade 29
    In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
