Essential Duties
- Acts as office receptionist, routes telephone calls, and assists visitors.
- Provides clerical support to Dean, program directors, and faculty; composes and types general correspondence; prepares work orders as directed.
- Interviews, hires, trains and supervises student workers; prepares their biweekly time sheets and payroll vouchers; collaborates with student workers to schedule appropriate workload.
- Maintains budgets; prepares all financial paperwork; tracks budget expenditures; prepares contract review forms, check and budget requests.
- Supervises and maintains office files.
- Maintains current student advisee lists and assigns students to advisors.
- Maintains inventory records of all equipment and furnishings; operates office equipment.
- Maintains adequate level of office supplies and university forms.
- Maintains well stocked and operational office work room and computer labs.
- Maintains updated classroom assignments, faculty meetings, and collects all College committee minutes from committee chairs.
- Participates in professional development workshops and webinars as appropriate.
- Works with the Dean and Chairs to reconcile purchases.
- Invoices, orders, and tracks supplies and equipment from Commodities and Capital Outlay budget.
- Prepares Personnel Action Forms for faculty, grant contract work, and maintains records.
- Assists with clerical support for accreditation and institutional effectiveness.
- Coordinates and assists with College functions.
- Serves as a liaison with Resources Management.
- Assists with onboarding new employees and trains new staff when applicable.
- Acts in a lead supervisory role for administrative assistant staff position; prepares and keeps record of staff biweekly payroll.
- Interpersonal skills must be well developed. Candidate must be able to listen to and reason with student grievances. When necessary must be able to offer reasonable solutions that benefit both the student and the University.
- Other reasonable duties as assigned.
Minimum Qualifications
Education:
- Bachelor’s degree preferred; professional knowledge equivalent to a bachelor’s degree required.
Experience:
-
Three (3) years related experience and/or training; or equivalent combination of education and experience
Skill and Qualifications:
- Administrative experience in a professional office environment
- Budgeting experience
- Excellent Word and Excel skills
- Excellent attention to detail and organizational skills
- Ability to work independently and as part of a team and able to multi-task
- Ability to deal discretely with confidential information
- Ability to produce quality work in a reasonable turnaround time
- Possess a positive, helpful nature
- Experience in Banner, DegreeWorks and Canvas preferred
- Experience working with both faculty and students preferred
- Background in basic accounting principles preferred
Job Description Summary
This position works directly with the Dean of the College of Business and Professional Studies and includes administrative duties for the Dean, managing of the office including office staff, purchasing responsibilities for the department, and other duties as assigned.
