Document Control Specialist
In this role you can work remotely up to two days per week from home and three days onsite in our Belcamp MD location.
JOB SUMMARY:
We are seeking a reliable, qualified Document Control Specialist for our security & compliance function supporting multiple facilities in the U.S. This position will oversee the storage, organization, and disbursal of records and documentation. Position will also maintain schedule and provide training, while observing legal guidelines, and best practices as well as administer the data management processes of our centralized library. This position will report to the Director of Security & Compliance.
JOB RESPONSIBILITIES:
Process
- Manage and maintain all Security/Compliance company documents and forms
- Oversee document through its entire lifecycle (inception to archival)
- Create document filing and organizing systems that are both effective and efficient
- Design templates for documents, file types, and document databases
- Update and maintain document management systems and physical records
- Collaborate and communicate with managers and project leaders
- Respond to requests for information (RFIs), and verify document completeness and format requirements
Forms/Files
- Update and control procedure documents and forms
- Checking and editing documents for accuracy and compliance
- Check and edit incoming documents and prepare for distribution
- Conduct document audits confirming they are current
- Assist with communication during external audits
- Ensure revised documents are accessible
- Retrieve files for other employees and customers when needed
- Establish and maintain record retention timelines
Training
- Train employees in company-controlled documents related to security & compliance to ensure correct handling of documents.
- Maintain schedule and issuance of compliance required trainings and maintain training records
Records
- Report errors or developments regarding document storage
- Maintain confidentiality regarding sensitive documents.
- Ensure the secure destruction and disposal of sensitive documents.
Ensure proper organization and security of documents (paper and electronic).

EDUCATION AND EXPERIENCE:
- Must be US citizen and capable of obtaining a clearance and able to pass a drug test and background check.
- 1-2 years’ experience in document control, document management, archive management, or records management
- Excellent Communication Skills
- An excellent grasp of Microsoft Office programs
- Strong report writing skills.
- Detail-focused document organizing abilities.
- Familiarity with the relevant regulations regarding document keeping and handling.
- Time-oriented approach to handling queries and tasks.
