SUMMARY
Under the overall supervision of the Director-Adult Education, the Office Manager performs a variety of clerical and administrative support duties related to the Adult Education program.
Provides assistance and support to the Adult Education program by managing multiple tasks, meeting deadlines, working independently and with a team, computer proficiency, strategizing implementing creative ideas to improve effectiveness or efficiency, and the ability to maintain confidentiality.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- Performs record-keeping and general clerical functions (filing, copying, faxing, scanning and emailing).
- Answers the telephone, email and website inquiries promptly and effectively.
- Communicate with and respond to inquiries from program and partners, personnel from other schools, state and federal agencies, general public, students, parents, community members, law enforcement personnel, court personnel, and other stakeholders as needed.
- Review community contacts/mailing lists prior to each quarter mailing to help ensure the lists are up-to-date with emails, phone numbers and other relevant information.
- Supply appropriate support to students, such as bus tokens, gas cards, and other resources. Maintain documentation of provided support.
- Complete documents and/or type letters serving as verification of enrollment, school attendance or early completion.
- Input attendance for adult participants.
- Submit Learn-to-Earn statistics quarterly to Capital Area Michigan Works (CAMW!).
- Assist with audits as needed.
- Prepare and send invoices/maintain records on expenditures grant budgets and related activities.
- Process transcript requests.
- Process/submit EduStaff payroll
- Works with business office preparing and maintaining department requisitions and purchase orders, including receipt of orders and accuracy of invoices.
- Input Section 107 and WIOA grants and modifications into NexSys.
- Create and upload Learn-to-Earn documents into DocuWare (CAMW!).
- Advise and support Director-Adult Education.
- Develop graduation plans with team input and Director approval.
- Develop and implement proposals for outreach, social media and other events as approved by Director.
- Data monitoring MAERS (Michigan Adult Education Reporting System)-generate and review reports timely, input participant enrollment/exit information, input participant attendance monthly, track and input participant follow-up information per State mandates.
- Work with Adult Ed staff to review and update Teacher/Program and Student handbooks.
- Attend meetings on behalf of Director as needed.
- Actively participate in meetings, take minutes and get Director's approval of the minutes.
- Draft monthly News Alerts and organize incentive drawings/award acknowledgements.
- Other duties as assigned.

QUALIFICATIONS
CERTIFICATES, LICENSES, REGISTRATIONS (If Applicable):
EDUCATION, TRAINING & EXPERIENCE:
Required
- Possession of a high school diploma or equivalent.
- One or more years more progressively responsible or expansive experience in a clerical, administrative support, or accounting field.
Desired
- Possession of an Associates Degree in accounting, business administration, or a related field.
- Three or more years experience working in a school and/or educational setting.
KNOWLEDGE, SKILLS & ABILITIES
- Demonstrate knowledge of State and grant requirements.
- Use a variety of software programs, including Microsoft Word and Excel, MSDS, SMART, Parchment, STUREC, NexSys, DRC and google drive.
- Analyze information and strategize effective solution. • Attend educational workshops and trainings to increase and update skills.
- Skill with use of technology to implement work responsibilities. • Ability to develop and maintain effective relationships with students.
- Ability to understand and carry out oral and written instructions.
- Ability to develop and maintain positive relationships with students, and internal staff.
- Ability to communicate effectively with a variety of audiences both orally and in writing.
- Demonstrate positive relationships with the Adult Education team, partners, students and community.

- Position may require work evenings.
