The Hampton Inn & Suites Morgantown/University Town Centre is currently seeking an experienced Event Coordinator to join their team.
The Event Coordinator is the primary on-site contact for all meetings and events. Oversees the setup, service and breakdown of all meetings within the Hampton Inn & Suites and Conference Center. Maintains the cleanliness and general upkeep of all event rooms and catering kitchen while ensuring excellent guest service.
Primary Responsibilities:
Perform all meeting room preparation for incoming events assuring ideal presentation according to sales contract and company standards.
Knowledge of banquet set up, and tear down i.e., hollow square, boardroom, theatre style, rounds, u-shape, etc.
Reading Banquet Event Orders/BEO's and talking with clients.
Responsible for timely and safe breakdown of rooms to a bare floor if needed, including the removal of linens, tables, chairs, food and beverage, removal of trash from building to the dumpster area, etc.
Responsible for executing all events, as early as 5:00 AM and as late as midnight.
Communicate with guests throughout the events via Kipsu and in-person.
Responsible for the presentation and cleanliness of all event linens.
Responsible for picking up catering food, beverage and supplies for events when needed.
Knowledge of all Audio-Visual equipment for both locations.
Controls event supplies inventory for both hotel and conference center meeting space.
Review Banquet Event Orders and attend weekly meetings with the leadership staff to discuss upcoming events and arrangements.
Participates in BEO meetings to assure that all events are executed according to the Banquet Event Orders.
Promptly report emergencies, accidents, injuries, missing articles, damage, engineering items and safety hazards to management.
Other duties as assigned; take the most effective role.
Job Requirements:
High School education or equivalent experience.
Must have a valid driver’s license.
Ability to move/carry up to 50 pounds or more without restriction.
Ability to compile facts and figures and show a basic mathematics aptitude.
Previous Banquet experience is preferred, but not required.
Strong verbal and written communication skills.
Must be available to work mornings, nights, weekends and holidays.
Must be able to communicate effectively with guests and employees.
Perform special projects and additional responsibilities as assigned.
Strong organizational skills.
Requires highly developed guest service skills.
