The Events Coordinator will play a key role in supporting the marketing, vendor relations, and events department. This position involves assisting with event and conference planning, coordinating with internal teams, vendors, and exhibitors, as well as arranging group travel and preparing attendee needs. Additionally, the role supports the events team with data entry and administrative tasks.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Obtains confirmation of event travel.
- Aid the Event Manager in the coordination and execution of program activities.
- Demonstrates strong communication and positive attitude to build long-term, value-based customer, vendor and sales relationships that enable achievement of event objectives.
- Assist in the arrangement of travel, hotel, and property accommodations for event attendees.
- Assist conference and home office team in understanding what is expected of them and the reasons for these expectations.
- Assist Event Manager in managing rooming lists for all events including coordinating and sharing room assignments and managing changes during events.
- Maintains necessary backend data within Teams, CVENT, Egencia and Vendor Relationship Manager (VRM).
- Supports and collaborates with conference team as well as others needed for event logistics.
- Communicate delegated tasks to stakeholders during the event planning process.
- Work directly with assigned properties to gather proposals, coordinate site visits and any other data needed.
- Support Events Manager in miscellaneous administrative tasks as needed.
- Support VP of Marketing, Vendor Relations and Events in special projects.
Education And/or Experience
- Required: High School Diploma with a minimum of 3 years related experience; or equivalent combination of education and experience.
- Preferred: Associate degree in business administration or similar degree or business-related field with 3-5 years related experience; or equivalent combination of education and experience.
