    Qualifications:

    Established financial/legal firm seeks to fill Executive Assistant to the president position immediately. Full time. Become a member of a friendly, professional team with plenty of support, interaction and growth opportunity. In addition to financial and legal skills, the successful candidate will have excellent speaking and writing skills, be professional in appearance and demeanor, detail oriented, have strong time management skills and the ability to work independently. Further qualifications detailed below. Bright and cheery office in the Carmel area. Excellent benefits plus educational opportunities. Competitive salary based on experience.

    Calendar and Time Management:

    • Oversee the day-to-day organization of a fast paced executive office
    • Greet clients and answer phones with courtesy and finesse
    • Gatekeeper for the President - schedule appointments and keep control of calendar by making the best use of time
    • Help manage the President's various community and educational obligations which include managing invitation responses, interacting with event planners and preparing meeting/event materials
    • Excellent follow up for outstanding and ongoing projects
    • Legal background in trusts and estates a definite plus

    Follow-Up / Time Critical Actions:

    • Heavy letter writing (with direction) and phone contact with current and prospective clients
    • Redirect emails to appropriate team members as needed, respond to emails as directed
    • Track and follow-up on projects assigned to other team members to ensure timely responses and task completion

    Office Management:

    • Manage contracts with outside vendors
    • Responsible for maintaining stock and ordering various office related supplies
    • Internal training and professional businessperson event coordination
    • Assist the President with client legal files and relationships
    • Take minutes during staff meetings / follow-up on action items
    • Open, sort, scan and redirect incoming mail

    Marketing:

    • Manage client mailings / maintain client lists in excel database and proprietary software
    • Manage newsletter and holiday gift mailings
    • Assist with ad preparation and placement for marketing and brand building

    Core Competencies Required:

    Accurate, error free communication - both written and verbal

    Proficiency in Microsoft Office Suite and ability to learn proprietary software

    Strong communication skills and customer service

    Team player with a positive attitude

    Effective at planning, organizing and execution of assigned duties

    Absolute professionalism in office demeanor and attire

    Additive Competencies:

    Notary Public, CA

    Absolute Requirement:

    The Executive Assistant will be required to sign a confidentiality agreement upon hire and may be asked to sign updated confidentiality agreements from time to time.

    PTO, Holiday, Medical / Dental / Vision and 401(k). Salary commiserate with experience
