Position Overview:
As an Executive Assistant at Artistic Grounds, you will play a critical role in ensuring the smooth operation of our business by providing high-level administrative support to our company owner and leadership team. This position requires excellent organizational skills and the ability to handle multiple tasks simultaneously.
Duties/Responsibilities:
Provides administrative support and assistance to the Company owner.
Performs clerical and administrative tasks, including drafting letters, memos, reports, and other documents.
Answering phone calls
Arrange travel and accommodations for the owner occasionally.
Schedules and attends meetings, taking notes, and recording minutes.
Receives incoming communication or memos on behalf of owner and reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Performs office tasks, including maintaining records, ordering supplies, and performing basic calculations.
Updating project deliverables and materials on Trello
Performs other related duties as assigned.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
Ability to function well in a high-paced and, at times, stressful environment.
Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
Able to type a minimum of 40-50 words per minute.
Extremely proficient with Google Suite, Microsoft Office, or similar software and able to learn new or updated software.
Education and Experience:
At least two years of related experience is required, preferably within the trades/construction industry.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
